Dental Front Office Scheduling Coordinator

The Scheduling Coordinator represents the practice in all facets of patient services, which may include, but is not limited to; greeting patients, answering the telephone, scheduling appointments, maintaining patient records, submitting insurance claims, and coordinating patient flow.

Compensation : $20 - $23 hourly
Responsibilities : Essential Duties :
Greet visitors and patients entering the practice and alert appropriate staff of patient arrivalsAnswer telephone, route calls, provide information, and take messages in accordance with practice proceduresSchedule and adjust patient appointments to maximize patient care and reach practice profit targets. Manage the daily, weekly, and monthly calendar to meet the practice production and collection goalsEstablish, maintain, and keep patient files and records up to date (i.e. address, phone number, insurance information, etc.)Communicate with patients regarding financial options. Reconcile financial records by receiving and recording patient paymentsCollect patient paymentsCollect referrals (from specialties - orthodontics, oral surgery, endodontist), scan them into charts, and give them to Office LeadsUses a computer or fax to transmit information or documents when requestedKeep the front desk and reception areas cleanPerform necessary duties associated with checking patients in and outVerify insurance eligibility, coverage tables (which include active coverage, deductibles, yearly maximum, breakdowns, and frequencies) and enter this into the proper area in Open DentalCalls patients the day before to remind them of a scheduled appointment time, or monitor the automatic communication system and maintain accuracyAdhere to all safety and health regulationsMonitor the schedule regularly, adjust the schedule as necessary, and reschedule patients as neededKeep staff and doctor informed of scheduling problems, issues, or concernsRegister new patients, provide necessary paperwork (welcome letter, HIPAA documents), and ensure all required documents are completed by the patientQualifications :
Knowledge / Skills / Abilities :
Knowledge of appointment coordinator proceduresKnowledge of English composition, grammar, spelling, and punctuationSkilled in the use of standard office equipment including telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Practice Management software)Ability to maintain composure and professionalism when exposed to stressful situationsAbility to engender trust from the doctors, co-workers, and patientsMaintain confidence with the patient regarding the abilities of the doctor(s) and staffAbility to work cooperatively with management, staff, and patientsAbility to prioritize, organize, and complete tasks in a timely and independent mannerAbility to accept constructive criticismAbility to understand and follow written and verbal instructionsAbility to collect data, establish facts, draw valid conclusions, and maintain confidentialityAbility to communicate and express thoughts and ideas competentlyAbility to quickly grasp relevant concepts regarding duties and responsibilitiesAbility to greet visitors professionally and courteouslyEducation / Experience :
High school diploma or equivalentScheduling and dental knowledge are preferredSpecial Requirements / Certifications / Licenses :
