The Lead Medical Office Specialist is responsible for overseeing the overall functions of the medical office, which includes patient scheduling, patient check in and check out process, including properly documenting registration, communication with patients and providers, answering phones, insurance authorizations, collecting co-pays and cash payments from patients, entering charges, payments, and balancing the day, medical records, and supply management.

Responsibilities may also include interviewing and training employees, planning, assigning, and directing work, addressing complaints, and resolving problems.

Position Summary :

  • Leads the overall functions of the medical office, including patient scheduling, patient check in and check out process including properly documenting registration, communication with patients and providers, answering phones, insurance authorizations, collecting co-pays and cash payments from patients, entering charges, payments, and balancing the day, medical records and supply management.
  • Leads clerical responsibilities as assigned which may include sending / receiving patient medical records; obtaining lab / x-ray reports, hospital notes, referral information, etc.
  • completing forms / requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics;

managing charts to ensure information is complete and accurate.

Leads organizational responsibilities that may include; respecting / promoting patient rights; responding appropriately to emergency codes;

sharing problems relating to patients and / or staff with immediate supervisors quickly.

  • Leads other Medical Office Specialist staff by overseeing, maintaining and updating current information on physician’s schedules ensuring that patients are scheduled properly and appointments are confirmed;
  • answers telephone, screens calls, takes messages, and provides information; answers questions regarding patient appointments and testing;
  • assembles new patient charts for next day visit; updates profile on all patients; fulfills organizational responsibilities as assigned which may include;
  • respecting / promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and / or staff with immediate supervisors quickly;
  • educates patients before and after procedures; maintains schedule; performs appointment follow ups; acts as receptionist as necessary;

and travels between facilities as requested.

  • Assists with coordinating patient appointments; relays necessary messages to staff; greets and registers patients in a prompt, pleasant, and helpful manner;
  • provides necessary instructions / directions. Informs appropriate department / person of patient’s arrival; verifies necessary information and documents in the medical record;

uses computer system to generate information necessary for billing; and, updates patient information, collects co-pays, provides any necessary forms needing completion, obtains signatures as necessary.

Independence Physician Management (IPM), a subsidiary of UHS, was formed in 2 as the physician services unit of UHS. IPM develops and manages multi-specialty physician networks and urgent care clinics which align with UHS acute care facilities.

It also provides select services for the Behavioral Health division of UHS. Through continuing growth, IPM operates in markets across six states and the District of Columbia.

Qualifications

Required Knowledge, Skills, Licensure, Training & Travel Requirements (if applicable) :

Requirements :

  • High School Diploma or equivalent required
  • Minimum three years’ experience as a Medical Assistant or Medical Office Specialist
  • Completion of an accredited Medical Office Assistant / Specialist program or Medical Assistant program preferred
  • Medical Assistant Certificate of Completion preferred
  • Must maintain CPR certification
  • EMR Experience
  • Familiarity with medical terminology required
  • Experience with patient check-in and check-out process (according to clinic protocol)
  • Knowledge of administrative and clerical procedures and systems, and other office procedures and terminology.
  • Knowledge of electronic equipment, computer hardware and software, including applications and programming. Knowledge of principles and processes for providing customer and personal services.

This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
