OFFICE MANAGER
Reports To : General Manager / Owner
GENERAL SUMMARY
Provides sales and expense analyses for all departments and coordinate with each department manager in a manner which will enable each department to operate profitably.
Counsel with General Manager and the department managers to ensure the dealership maximum gross profit retention. Must fairly represent the financial condition of the dealership, develop controls necessary for the proper conduct of the business, maintain accurate records, and establish and maintain the data processing capabilities to accomplish the dealership’s objectives.
ANNUAL COMPENSATION : $75,000 - $90,000

DUTIES & RESPONSIBILITIES
- Prepare the month end and print / disburse the monthly financial statement by the 10th day of each month.
- Prepare all necessary journal entries during the month.
- All checks and journal entries have proper documentation.
- Make sure all accounting is entered into the computer system by office employees daily.
- Develop and maintain an effective cash management system. Responsible for total fiscal management of the company.
- Maintain a clean and accurate set of accounting records.
- All documents posted promptly and accurately.
- Approve adjustments to inventory accounts.
- Keep the Owner and General Manager aware of the financial status of the company.
- Maintain floor plan payments with financial institutions.
- Supervision, training and control of office and clerical staff, including yearly performance details.
- Maintain neat and accurate files.
- Make sure all paperwork flows smoothly daily.
- Handle all problems without delay.
- Cooperate with fellow employees and outside institutions on any questions which may arise.
MINIMUM QUALIFICATIONS AND EXPERIENCE
- Administration or Accounting degree or commensurate experience
- Minimum of 3 years of experience as a Business Office Manager or Controller
- Working knowledge of dealership financial statements
- Ability to explain technical financial information in an understandable manner
- Ability to read and comprehend instructions and information
- Better than average written and spoken communication skills
- Demonstrated ability to serve as a knowledgeable resource to the executive management team that provides overall company leadership and direction
- Evidence of the ability to practice and coach organization managers in the practice of a high level of confidentiality
- Supervisory experience preferred
- Excellent organizational management skills

- Auto Industry or Dealership Experience

PHYSICAL DEMAND
The physical effort typically applied in this job includes lifting (0-5 pounds more than 70% of the time and 5-60 pounds 15-40% of the time), carrying, pulling, pushing, reaching, manipulating and keying / typing while sitting (up to 6-8 hours), standing, walking, stooping and bending.
MENTAL OR VISUAL DEMAND
Continuous mental and / or visual attention; the work is either repetitive or diversified requiring constant alertness.
