Provides office support services for the Office of Student Success. Serves as an administrative contact for the Office of Student Success.
- Perform office and clerical functions related to Student Success.
- Support Student Success staff in administrative functions.
- Make travel arrangements, prepare travel requests, and travel reimbursement and other expense reimbursement requests for staff.
Serves as office assistant / receptionist and provides office support for the Student Success staff.
Type correspondence, reports, and other documents as requested. Proofread for accuracy and produce final copy for distribution.
Distribute materials to staff as needed.
- Help with Creating and Distributing Flyers : Design, produce, and distribute flyers across campus to promote events, programs, or announcements.
- Newsletter Assistance : Aid in the creation, formatting, and distribution of newsletters to keep students, faculty, and staff informed about campus activities and news.
- Process incoming / outgoing mail.
- Receive calls for Student Success staff and route appropriately to on and off-campus resources as needed.
- Set appointments for Ivy CARES request / coaching referrals.
- Contact and set wrap-around service dates (community-based resources, mobile food pantry etc.)
- Serve as point of contact for students and visitors to the student activity building, making appointments and providing resources as needed.
- Help keep track of planned events on spreadsheet created for SSR (reserve rooms, order food / supplies etc.)
- Send weekly planned communication via email, text etc.
- Maintain inventories and order office supplies. Use standard office information technology to manage appointments, prepare documents, and other forms of communication as requested.
- Maintain a professional appearance on desks, shelves, tables, and other public spaces in the Student Activity building to provide a professional atmosphere for students and visitors.
- Conduct all activities with an appreciation and respect for diversity of people, styles, and views.
- Maintains knowledge of safety / emergency procedures.
- Completes all employee CBTs yearly as directed.
- Conduct all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA)
- Associate degree in a related field and three years of work experience required.
- Must be able to handle confidential information with discretion and maturity.
- Must have the ability to communicate effectively orally and in writing, in person, and by telephone.
- Extensive experience of working with members of the public and successfully dealing with high levels of contact and time pressure.
- Ability to exercise independent judgment related to college policies and procedures when necessary.
- Must demonstrate tact and judgment in working with people and understand and implement best practices in student services.
- Knowledge of Microsoft applications
- Ability to operate a copier and other office-related equipment.
- Strong customer service, interpersonal, and organizational skills.
- Pleasant disposition, good attitude, and ability to get along with others.
- Demonstrate evidence of ability to successfully work in a team environment.
- Ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees and which every individual feels respected and valued.
- Attention to detail and accuracy in data management and document preparation.
- Formal secretarial / clerical training preferred.
