We’re looking for a proactive, highly organized Listing Coordinator to play a key role on our growing team. You’ll work with sellers throughout their entire listing process, compile listing information and research for comparable properties, assist homeowners with completing contracts, and enter MLS listings in the database.

You’ll also arrange cleanings to prepare homes to sell, organize showings, and generate reports to display sales activity.

Responsibilities :

  • Own the outcome of the listing department for the organization
  • Support and proactively communicate with real estate agents, clientele, and other stakeholders
  • Ensure the completion and compliance of all listing documents
  • Foster positive relationships and collaborative partnerships with agents, colleagues, and clients
  • Take ownership of all listing processes, including marketing and services provided to agents and sellers
  • Manage and oversee the tracking, auditing, and analysis of all listings production within the brokerage
  • Maintain consistent communication with sellers throughout the listing process, including welcome letters / calls, updates on the listing process, providing feedback, scheduling of photos and open houses, and sending monthly marketing reports
  • Responsible for ensuring the listing is prepared & up to date with all of the required documents for compliance, including status changes & price changes
  • Verify the accuracy of all listing information across various platforms such as Monday.com, Dotloop, MLS, Realtor.com, BrokerMint, and Zillow
  • Manage the Open house process including ordering, installing, and removing open house signs, coordinating with the sellers and the agents to schedule;

ensuring agents' open houses are adequately staffed and advertising the open houses across MLS and Zillow platforms

  • Manage relationships with vendors, including sign companies and photography services
  • Supervise support staff & verify the accuracy of their work
  • Prioritize a customer-centric approach providing exceptional service to all sellers and agents from the time their home goes on the market up until it goes into contract.

Responsible for the smooth transition of seller files to the Transaction Coordinator to ensure that exceptional service continues

  • Responsible for developing listing marketing materials in collaboration with the Director of Marketing
  • Keep the Director of Operations updated on the progress of all seller contracts and advise when they need to become involved in negotiations or problem-resolution

Qualifications :

  • Must have a valid Real Estate License
  • High school diploma or equivalent required, college experience preferred
  • Has real estate license or is willing to pursue one
  • Able to convey information well in both a written and verbal format
  • 2+ years of experience as a Listing Manager
  • A desire to continue to grow and develop as a professional
  • Obsessed with meeting deadlines and self-organized
  • High level of verbal and written communication with the ability to develop rapport and establish positive relationships
  • Ability to adapt to a fast-paced and ever-changing environment
  • Ensure our listings are posted promptly
  • Adhere to all guidelines and policies in the employee handbook
