Our client, a prestigious university located in Cambridge, MA, is seeking a Facilities Project Coordinator to support various logistics and planning efforts.

This is a full-time, temporary position with a duration of approximately 3 months. The hours for this position are Monday - Friday onsite from 8am to 4pm, and compensation for this role ranges from $25-$27 per hour depending on experience.

Responsibilities :

  • Create inventory database of staff equipment and furniture in existing residence hall to be renovated via on-site walk throughs with staff and "clean-out" vendors.
  • Research costs of staff equipment and related furnishings to build a budget for future purchase in this residence hall and another to be opened in Summer 2025
  • Plan for recycling and donating items that will not be needed
  • Quantify inventory to be stored for duration of renovation by moving & storage companies to get estimated costs
  • Maintain spreadsheet of residence hall gym portfolio equipment
  • Label all existing gym equipment in 25 fitness rooms
  • Inventory all existing plastic picnic tables on campus to enable planning for donation of plastic picnic tables and purchase of new permanent picnic tables
  • Support Director with inputting summer project scoping information into MIT templates to be ready to be presented to colleagues at a series of meetings in January
  • Related, submit information requests to Environment Health & Safety for hazardous materials testing results, as needed
  • Support Director with moving files in existing Dropbox folders to newly organized folders according to new file organization
  • Other administrative project supports as they may arise

Desired Competencies

  • 3-5 years of experience in administrative support and related administrative project management
  • Comfort with Microsoft Excel and building spreadsheets for basic inventory and basic budgets
  • Comfort with cloud-based file storage websites like Dropbox and Google Drive
  • Comfort with Microsoft Outlook email client to communicate with staff and 3rd party vendors
  • Multi-tasking as all projects will progress for the entire three months
  • Aptitude for collecting and presenting quantitative and qualitative information with attention to detail
  • Demonstrated experience working in a multicultural environment
  • Comfort with, OR INTEREST IN in learning construction-related terminology
  • Strong written and verbal communication skills
  • Proven ability to work in a team-oriented fashion
  • Flexibility and adaptability to change with a solutions oriented approach to problem solving
  • Frequent sitting, standing, walking and climbing stairs for extended periods of time around the campus intermittently as needs arise
