Summary
The Executive Assistant position is the primary point of contact for the MaineHealth Department of Medical Education. The person in this role is the direct administrative support for the department leadership team, which includes two Vice Presidents, four directors and several other medical directors and operations managers.
The work consists of scheduling events and meetings, calendar management, financial support, and is responsible for a significant portion of record keeping for the department and those outside of the department who are involved in education.
The position requires the utmost level of professionalism and the ability to manage sensitive information discreetly and efficiently.
The position serves as a mentor and coach to other administrative roles in the department and there is a possibility of some supervisory responsibilities.
The position reports directly to the Medical Education Manager of Strategic Operations. Once hired, this person will serve in a training role for up to six months, as we approach the current EA’s upcoming retirement.
This is such a unique opportunity to learn from a predecessor while also being encouraged to work independently and develop some process improvement tools that can be implemented.
The role will require onsite presence and visibility to leadership, while also offering flexibility and hybrid options for the right individual.
This is a full-time, highly professional role and we are excited to find a candidate with many years of direct experience in a related field of executive administration support work.
Required Minimum Knowledge, Skills, and Abilities (KSAs)
Education : High school diploma or GED preferred. License / Certifications : N / A Experience : Minimum of 4 5 years of experience in an administrative support role required.
Exceptional written and oral communication skills. Advanced skills with Microsoft Office Word, Excel and PowerPoint. Strong interpersonal skills.
Excellent organizational and multi tasking skills. Strong problem solving skills. Knowledge of medical terminology preferred.
