A top-ranking real estate broker in Jacksonville, FL is seeking an executive assistant to help with daily administrative tasks, allowing the broker to focus on sales.
The ideal candidate MUST have real estate experience, a proven ability to implement systems, a proactive attitude, and a preference for behind-the-scenes operations.
This role offers opportunities for growth and leadership within the team.
Compensation :
- Salary Range : $60,000 - $70,000
- Exempt position- employee will be responsible for submitting deductions & tax withholdings as required by law
- Paid Time Off (PTO)
- Bonuses & Spot Awards- provided at broker / owner’s discretion
- Reviews conducted on a bi-annual basis for potential merit increases

Responsibilities :
- Assist the owner / broker with business and personal tasks.
- Facilitate smooth communication with clients for a great customer experience.
- Manage emails, inquiries, and schedules efficiently.
- Maintain and optimize the CRM system for streamlined client communication and lead management.
- Develop and distribute marketing materials, including newsletters and open house flyers.
- Plan and schedule YouTube Live broadcasts with well-researched topics.
- Address client concerns proactively and manage MLS searches and listings.
- Oversee transaction paperwork, ensuring accuracy and compliance.
- Provide regular updates on transactions and collaborate with agents and stakeholders.
- Stay organized, flexible, and available for weekend work, check-ins, and local meetings.
- Attend open houses and inspection appointments as needed, working independently with minimal supervision.
Qualifications :
- Must be local to Jacksonville, FL with 2+ years of recent real estate experience in Florida no exceptions.
- Recent role must involve admin or operations support for a broker or team.
- 2+ years of transaction management experience required, familiar with NEFAR MLS.
- Experience in new home construction is a plus.
- Proficient in CRM systems (REW preferred), Excel, Outlook, and Google Workspace.
- Highly organized, detail-oriented, tech-savvy, and able to multitask.
- Able to work independently with strong communication and problem-solving skills.
- College degree and social media experience preferred.
- Comfortable with strong personalities and maintaining discretion.
