Rutgers, The State University of New Jersey, is seeking a Program Coordinator for NJMS- Graduate Medical Education. The primary purpose of the Program Coordinator position is to assist in the development and implementation of all activities related to the residency program in the Department of Surgery.
The Program Coordinator is expected to perform a range of analytical duties with an appropriately rich skill set to work independently in a multi-task environment focused on supporting and facilitating the training and clinical requirements of resident education and documentation in a University setting.
Among the key duties of this position are the following :
Works under the supervision of the NJMS GME Office for all internal and external compliance and documentation requirements.
Gather, interprets, and formulates GME data to meet all program deadlines.
Leads the day-to-day planning and coordination of recruitment (interviewing), credential verification, and resident documentation in consultation with Program Director of the Surgery Residency Program.
Prepares / processes Resident and Fellowship verification forms / letters, contracts, evaluations, semi-annual evaluation files, surveys, certifications, and NJ permit packages.
- Creates and maintains files in the New Innovations database.
- Develops and maintains database systems to ensure the accuracy of electronic residency records as determined by the Program Director of Surgery and the GME Office.
- Manages the electronic residency / faculty evaluation system and ensures program compliance with ACGME evaluation requirements.

- Bachelor’s degree in Business Administration, Education, or a related field plus three (3) years of experience in planning and administering educational programs in a medical school environment, required.
- Equivalent experience, education and / or training may be substituted for the education requirements.
Certifications / Licenses Required Knowledge, Skills, and Abilities
- Exceptional organizational skills, interpersonal and communication skills.
- Ability to independently prioritize work and utilize resources effectively. Highly proficient computer skills, including general productivity applications, as well as proprietary systems (ERAS, New Innovations), as required by Rutgers, the GME Office, and accreditation organizations.
- Proficient with Windows applications and Microsoft Office Suite Applications including PowerPoint, Excel, Word, and Internet applications.
- Previous experience in a graduate medical education office.
Preferred Qualifications
Preferred : Master’s degree in administration, education or healthcare-related field. Training Administrators of Graduate Medical Education (TAGME) certification or eligibility.
