Title : Emergency Preparedness Coordinator

Location : 4822 N Broadway

Schedule : Hybrid, Monday to Friday 8 : 30am-5 : 00pm

Summary :

Heartland Human Care Services (HHCS) is seeking an Emergency Preparedness Coordinator to play a crucial role in safeguarding our organization and the communities we serve.

Under the guidance of the Director of Security and Emergency Response, you will plan, organize, and coordinate emergency response activities, ensuring that HHCS is always prepared for emergencies.

In this role, you will take the lead in developing, writing, and exercising emergency response plans, collaborating with the HHCS Safety Team to enhance preparedness across all areas.

You will conduct needs assessments, provide vital training, and ensure our teams are well-versed in emergency protocols.

Additionally, you will oversee incident reporting for ORR-funded programs, ensuring accurate and timely documentation through our online platform.

Duties & Responsibilities

  • Prepare, update and exercise HHCS emergency preparedness plans, policies and procedures.
  • Collaborate with other stakeholders, including but not limited to, the Chicago Fire Department, the Chicago Police Department and emergency management resources, to maintain and update HHCS’ emergency plans and to develop and implement comprehensive emergency preparedness and safety drills.
  • Represent HHCS in local, regional, and state-level emergency preparedness committees and groups.
  • Develop, organize, and coordinate in-house emergency preparedness trainings and exercises.
  • Prepare reports as identified related to HHCS’ emergency preparedness activities and operations which can include after action item, safety drills and other reporting as needed.
  • Conduct Internal Emergency Preparedness planned and unannounced audits to assure compliance with CARF standards, OSHA regulations and other regulatory body requirements.
  • Conduct and participate in table-top and functional exercises to test effectiveness of HHCS’ emergency response plans as appropriate.
  • Communicate regularly with HHCS’ Safety Team, co-workers and community partners.
  • Promote Emergency Preparedness across HHCS through outreach, education and trainings.
  • Assist the ORR programs in inputting data and information into the HHCS incident reporting online system
  • Assist in follow up actions, reviews, evaluations and investigations on emergency preparedness, safety and incident reporting matters

Education and Experience :

Bachelor’s Degree required; 3 to 5 years’ experience preferred working in Emergency Preparedness or other related field promoting agency preparation for emergency situations or other comparable experiences to successfully perform duties and responsibilities of classification.

Emergency Preparedness Coordinator should have experience in the following :

  • Planning : Preparing emergency plans and procedures for organization and ensuring programmatic compliance
  • Coordinating and facilitating safety and emergency preparedness drills
  • Directing emergency response drills and tabletop exercises
  • Providing emergency preparedness training at all sites

Standards Knowledge / Skills / Abilities (K / S / A) :

  • Ability and comfortability working with people of varying socioeconomic backgrounds.
  • Excellent communication skills. Strong networker, convener, relationship builder and communicator with experience collaborating with diverse work teams and stakeholders.
  • Demonstrated ability to handle confidential and sensitive information possessing skills to handle situations in a professional and diplomatic manner.
  • A high degree of collaboration and emotional intelligence, self-motivation, and analytical ability.
  • Proficiency in Microsoft Office, Internet Explorer, Outlook / Exchange; Windows operating systems; and other software routinely used by Heartland Human Care Services.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Ability to work independently and remain self-motivated with minimal direct supervision.
  • Strategic thought partnership and consultancy skills.

Work Arrangement :

This role requires the Emergency Preparedness Coordinator to work onsite. The Emergency Preparedness Coordinator will be assigned a worksite and may periodically be provided a hybrid work schedule.

The Emergency Preparedness Coordinator is expected to meet for onsite and in person meetings and activities when needed or at the request of others.

In-person meetings may be required on a regular basis (daily, weekly, monthly, etc.).

  • The noise level in the work environment is usually moderate.
  • Each program site operates on a 24 / 7 basis, 365 days per year. To meet both the needs of our participants and contractual obligations, employees are required to be flexible in regard to scheduling and work location.
  • Program sites are located throughout the Chicago area, including the North and South sides of Chicago, as well as the suburbs.

Employees may be required to report to any one of our locations on a temporary or permanent basis.
