The Office Administrator will oversee daily operations to ensure the office runs smoothly in a fast-paced environment. The ideal candidate will be a proactive and organized individual with a positive attitude, capable of multitasking, and providing excellent customer service.

This role requires two to three years of front desk or customer service experience, with a strong ability to work effectively as part of a team.

Explore your tasks and responsibilities

  • Greet visitors, manage lobby access, and monitor building safety.
  • Handle routine tasks such as running the dishwasher, monthly refrigerator cleanout, and updating the office phone directory.
  • Act as the main point of contact for employee inquiries, provide administrative support to visiting executives, new hires, and other visitors.
  • Manage conference room bookings in Outlook and coordinate meeting logistics including AV setup, WebEx, catering, and materials.

Collect and distribute mail, sign for deliveries, and prepare outgoing shipments via USPS and FedEx.

  • Oversee new hire onboarding processes, including assembling welcome kits, conducting facility tours, and ordering business cards.
  • Maintain the office purchasing card, reconcile expenses monthly, and oversee supplies for the office, kitchen, and copy room.
  • Serve as a Safety Committee member, leading emergency responses and providing administrative support.
  • Send out office-wide alerts, announcements, and communications regarding weather concerns, events, and more.
  • Order catering and assist with logistics for in-office meetings and events, encourage participation in HR and Marketing events.
  • Coordinate with property management or the Facilities Manager for maintenance and repair requests, ensuring the office remains professional and well-maintained.
  • Assist with employee exit processes, collect keys and access cards, and ensure labor law postings are current.

  • High School Diploma or GED required
  • 2-3 years of front desk or customer service experience, preferably in a fast-paced office environment.

  • Fosters a positive work environment and collaborates effectively with colleagues.

  • Skilled in Microsoft Office Suite and office database management.
  • High level of accuracy in all tasks.
  • Delivers excellent service to both internal and external clients.
  • Comfortable managing office budgets, tracking expenses, and handling supply orders.
  • Capable of coordinating and executing office projects or events.
