Job Overview - Executive Assistant - 33163

We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to our client's executive team.

The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks efficiently. This role requires exceptional communication skills, discretion, and the ability to handle confidential information with the utmost professionalism.

Key Responsibilities :

  • Administrative Support :
  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Coordinate and organize executive meetings, including preparing agendas and taking minutes.
  • Communication and Coordination :
  • Act as a liaison between executives and internal / external stakeholders.
  • Handle incoming calls, emails, and other communications on behalf of the executives.
  • Screen and prioritize requests, ensuring timely responses and follow-ups.
  • Project Management :
  • Assist in the coordination and execution of special projects and initiatives.
  • Track project deadlines and deliverables, providing status updates as needed.
  • Office Management :
  • Oversee office supplies and equipment, ensuring that all resources are available and well-maintained.
  • Coordinate with facilities management for any office-related needs or issues.
  • Confidentiality and Discretion :
  • Handle sensitive information with a high level of confidentiality and professionalism.
  • Ensure that all documents and communications are managed securely.
  • Event Planning :
  • Organize and manage executive and company events, including conferences, luncheons, and team-building activities.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Minimum of 3 years of experience as an executive assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team, demonstrating a high level of initiative and professionalism.
  • Flexibility and adaptability in a fast-paced environment.
