Job Overview - Executive Assistant - 33163
We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to our client's executive team.
The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks efficiently. This role requires exceptional communication skills, discretion, and the ability to handle confidential information with the utmost professionalism.
Key Responsibilities :
- Administrative Support :
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Coordinate and organize executive meetings, including preparing agendas and taking minutes.
- Communication and Coordination :
- Act as a liaison between executives and internal / external stakeholders.
- Handle incoming calls, emails, and other communications on behalf of the executives.
- Screen and prioritize requests, ensuring timely responses and follow-ups.
- Project Management :
- Assist in the coordination and execution of special projects and initiatives.
- Track project deadlines and deliverables, providing status updates as needed.
- Office Management :
- Oversee office supplies and equipment, ensuring that all resources are available and well-maintained.
- Coordinate with facilities management for any office-related needs or issues.
- Confidentiality and Discretion :
- Handle sensitive information with a high level of confidentiality and professionalism.
- Ensure that all documents and communications are managed securely.
- Event Planning :
- Organize and manage executive and company events, including conferences, luncheons, and team-building activities.
Requirements
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- Minimum of 3 years of experience as an executive assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team, demonstrating a high level of initiative and professionalism.
- Flexibility and adaptability in a fast-paced environment.
