Conquer Cancer, the ASCO Foundation has a dynamic opportunity for an administrative professional to successfully contribute and support the Executive Office and Governance & Events Division in the role of Administrative Coordinator.
This role is an integral part of the team, responsible for providing responsible for providing administrative, logistical and operational support.

This position is hybrid, with a primary location in Alexandria, VA. We anticipate the hire to be onsite approximately 3-4 days per week.
Responsibilities
Support daily operations by performing an array of administrative tasks, including but not limited to managing calendars, generating correspondence, agenda preparation, creating PowerPoint presentations, taking minutes, maintaining database and archives.
Maintain confidential and sensitive information with discretion.
Proactively manage calendar s .
Schedule and coordinate meetings, develop and provide participants with pertinent background materials to include objectives , agendas, and all relevant materials to be reviewed in preparation of meetings.
Assist with onsite and virtual meetings, to include but not limited to, A / V, catering, creating nametags, event materials, minutes and pre and post meeting action items
Complete expense reports and r econcile monthly business-related expenses for corporate credit card .
Complete expense reports for Board members.
Coordinate end-to-end travel arrangements, including hotel accommodations, directions, commuting time, ground transportation, and other travel logistics .
Assist in the Committee Appointment process, including drafting and sending appointment packages, scheduling Committee meetings for the year, monitoring Committee member acceptances, and tracking Conflict of Interest form completion.
Serve as Onboarding Coordinator for new hires, maintain org charts and other onboarding documents.
Coordinate with Facilities for onsite office needs.
Provide research and support for special projects , as needed .
Required Education and Experience
Bachelor's degree in related field or equivalent years of experience
2-3 years of prior relevant work experience
Proficiency in Microsoft Office software (Excel, Word, PowerPoint)
Preferred Education and Experience
Familiarity with database and virtual meeting software (Zoom, Teams)

Excellent communication skills , including written, with the ability to clearly convey and receive information
Ability to write sound, concise and detailed documents

Work at ASCO HQ
Staff are expected to perform work in-person at ASCO HQ as responsibilities dictate and / or upon their manager's request.
