JOB TITLE : Receptionist / Administrative Assistant
REPORTS TO : Human Resources
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greet visitors and ensure they are directed to the appropriate person / department.
- Answer all incoming calls in a timely manner and route calls appropriately.
- Handle all internal / external mail requirements.
- Maintain the Visitor sign-in log, issue necessary PPE and badges in accordance with Genpak’s Visitor Policy
- Assist in setting up contractors to watch contractor safety videos when necessary.
- Collaborate with HR to assist in making brochures, flyers, and other plant related correspondence.
- Assist HR in preparing for Onboarding.
- Provide support to HR to assist where necessary
- Back up HR on weekly payroll processing and timecard review
- Handle multiple administrative tasks for several departments as requested.
- Assist walk in candidates on how to apply with Genpak.
- Support current employees with the kiosk when needed.
- Maintain accurate inventory / replenish of office supplies, safety PPE supplies, janitorial requirements, and any forms which are required within the plant for production.
- Handle multiple administrative tasks for several departments as requested.
- Assist with luncheon arrangements for guests and / or special celebrations.
EDUCATION and / or EXPERIENCE
High School Graduate with 2 years administrative experience
Human Resource experience a plus
Must be proficient in Microsoft Office such as Word, Excel, and PowerPoint
INTERPERSONAL / COMMUNICATION :
Ability to prioritize multi-task duties without loss of efficiency or composure.
Effective verbal and communication skills
Communicate pro-actively with HR Coordinator to notify of problems or issues that arise.
Ability to establish and build relationships with internal / external customers.
Strong Record keeping and follow-up skills.
COMPLIANCE :
Understanding and demonstrating a high level of confidentiality and understanding of regulatory requirements associated with privacy.
Demonstrated ability to comply with all Company policies and procedures and to uphold, support and exemplify the safety programs and standards.
