Summary :
In this role, you will oversee Vizient's catering services. You will assist in meeting and event management by collaborating with organizers and facilitators to ensure a positive overall experience;
while maintaining a professional, client focused approach providing catering, meeting, and general office support.
Responsibilities :
Provide support to the Workplace Services Manager and team to include general office support, in-office events, meetings, communications, vendor management and tasks assigned to support the department and Vizient’s office spaces.
Respond to and track Remedy Force ticket requests for meetings, room set-up and / or catering services.
Conduct catering services for assigned office / clients based on their event type to include scheduling, placing orders, set-up and breakdown management, and oversight of catering financials.
Collaborate with administration and / or meeting hosts, as needed, on catering and event support.
Maintain a list of preferred catering / vendor partners, ensuring that all caterers / vendors are approved with building management and meet certificate of insurance (COI) requirements to provide on-site services, and maintain service compliance.
Process catering billing and receivables, assure proper processing to designated cost centers, and reconcile discrepancies with catering partner(s).
Collaborate closely with catering partners on offerings, menu changes, and general communications.
Implement and follow catering protocols on food placement, removing food from conference and meeting rooms, and discarding food waste.
Perform daily walkthroughs of meeting and conference rooms to assure cleanliness, stock supplies and report equipment deficiencies to Workplace manager for collaborative resolution.
Maintain orderly and stocked supply closets. Orders supplies as needed with approval from the Workplace manager.
Assist in inputting visitor information access into the Rise system for meeting attendees.
Create and respond to work order maintenance requests.
Qualifications :
Relevant degree preferred.
2 or more years of relevant experience in catering / hospitality required.
Must be able to work Monday through Friday from 7 : 00AM to 4 : 00PM (CST).
Knowledge of MS Office Suite (Outlook, Word and Excel) required.
Knowledge of / or the ability to learn Workday and Adobe Reader.
Knowledge of / or the ability to learn Remedy Force ticket software application.
Possess strong customer service skills with the ability to communicate effectively with all levels of the organization.
Analytical with strong attention to detail, problem solving abilities and excellent interpersonal skills.
Highly organized, able to multitask with the ability to prioritize competing demands, meet deadlines and quickly adapt to change.
