Summary :
This position will be responsible for the administrative tasks of the COO
Qualifications :
- Committed to global missions and overall vision of Pioneers
- Must practice and support the relevant elements of the US Mobilization Base Manual
- General knowledge of executive level planning and administration
- 3-5 years of relevant experience with non-profit or executive teams
- Technical proficiency, including use of MS Office 365 tools, ERP / CRM applications and related systems
- Excellent problem-solving and analytical skills.
- Demonstrates outstanding time management and organization skills
- Strong written, verbal and listening communication skills.
Responsibilities :
- Serve as executive assistant to the COO.
- Manage COO’s schedule, appointments, email, and other communications.
- Prepare correspondence, reports, documents, meeting packets, and presentations.
- Arrange travel, itineraries and agendas.
- Coordinate team meetings and events.
- Screen calls, emails, and meeting requests.
- Maintain COO files, contracts, and records.
- Attend meetings and take minutes as requested.
- Professional development with related business systems skills.
- Perform other tasks as requested by the COO.
Physical Demands :
- Environment : Work is performed primarily in a standard office environment with extensive public contact and frequent interruptions.
- Physical : Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time;
- to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and / or pull light to moderate amounts of weight;
- to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard;
and to verbally communicate to exchange information.
- Vision : See in the normal visual range with or without correction.
- Hearing : Hear in the normal audio range with or without correction.
