job_description.job_card.job_descriptionGeneral Position Summary Essential Job FunctionsPrimary Job Functions 50%A. Logistics Compliance Processes Customs declaration Provides all necessary shipping information and documentation to the proper government agencies or bureaus for the timely clearing of goods. The customs declaration must be done correctly in the right manner. Accommodates and gets all customs declarations done from the sales Departments promptly. Offer of quotations to the customers Researches and provides price quotes for current and potential customers. Logistics coordination Follows import department's procedures. Has great communication skills with shippers, trucking, airlines, etc. Good management of the logistics by confirming delivery and pickups with necessary parties Data entry of all necessary shipping contract data into the Company's database Arranges to issue billing, payment of the charges and fees, etc. on a daily, weekly, and as needed basis. Communicates with the head office regarding contracts, shipments, etc. as needed. Troubleshoots any logistics issues and matters in a timely manner. Coordinates domestic transportation and manages pick-up and delivery schedule with shippers, carriers, and customers. Tracks freight and reports shipment status to customers. Collects and verifies freight charges with PODs, solves all payable discrepancies prior to final payment to vendors. Performs any other logistics functions as needed. Invoicing This position also includes the assistance in invoicing of files for the Airfreight, Ocean and Trucking departments. Participates in meetings. Reports problems and issues to Manager, General Manager and / or Management verbally or in writing to avoid confusion and further problems. Recommends changes for improvements in the Company's functions to Manager, General Manager and / or Management. Ensures logistics operations are in line with all industry and Company required compliance items. Obtains proper licensing as needed. Studies existing and new regulations. Meets TSA, State Department, CTPAT, etc., requirements as necessary. Complies with other industry-related regulations as they arise. Follows accounting compliance requirements, Company practices and policies (Credit Risk Management, Basis for Recording Sales, Expenses, etc.). Supports the Accounting Department in the closing process. Reconciles all accounts. Assists in the maintenance of the Departments system of accounts, books, and records on all Transactions. Supports any other accounting duties as necessary. Follows all Company practices and policies regarding confidentiality. Maintains secure transmission and storage of sensitive Company information. Avoids or identifies conflicts-of-interest and notifying Management. Performs any other general actions needed to protect the Company's confidential information. Teamwork oriented in the company as well as in the department Complies in work assignments Covers for other Staff as needed Accomplishes related tasks when requested. Attains job-related certification Keeps up on industry trends Applies that knowledge to the job. Accepts feedback from peers, supervisors, and clients Uses feedback to improve performance. Examines departmental work processes, research procedures, administrative procedures, etc. Recommends changes where appropriate Maintains professional conduct and appearance Perceives own limitations and seeks assistance when needed Uses established communication channels Essential Job RequirementsPhysical Requirements & Working EnvironmentA. Physical Requirements While performing the duties of this job, the Staff Member is regularly required to sit and talk or hear. The Staff Member is occasionally required to stand, walk, use hands to pick-up, handle or feel, and reach with hands and arms. The Staff Member must occasionally lift and / or move up to 10 pounds. This position requires vision abilities such as close vision and the ability to adjust focus. The noise level in the work environment is usually moderate (i.e., working in a business office with computers, printers, and telephones). Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry and to draw and interpret bar graphs. Ability to apply knowledge and sense of understanding to carry-out detailed written or oral instructions. Ability to deal with problems involving several concrete variables in situations where only limited standardization exists. Ability to analyze information, use various documents (contracts, purchase orders, etc.) and organize as procedures, manuals, or reports. Ability to use a computer and such applications as Microsoft Windows, Word, Excel, Outlook and PowerPoint and be able to design custom reports as necessary. Ability to use Companys Database Program for Logistics Operation. Must be tactful, mature, flexible and able to successfully respond to multiple work pressures. High School or GED and three to five years of related experience and / or training; or equivalent combination of education and experience.
