Administrative Assistant

In collaboration with SouthLight's Opioid Treatment Program, the Administrative Assistant serves as a first point of contact and information source for new and existing participants at SouthLight's Garner Road Outpatient Treatment Center.
This position is responsible for a variety of day-to-day operations including, but not limited to : greeting clients and visitors, answering and routing calls, providing check in / check out services to participants, collecting copays and service fees and keeping paperwork organized.
Schedule
Part-time, flexible.
Available shifts : Monday-Friday 3 : 30pm - 8 : 30pm and Saturday 3 : 30pm - 7 : 30pm.
Starting at $18.00 per hour.

Full-time employees are eligible for medical benefits the first of the month 30 days after hire date. Options for a standard plan and an HSA plan with a $300 initial contribution and up to a $25 per paycheck match.
10 paid holidays and PTO hours which accrue at a rate of 10 hours per month. After 6 months employees are eligible to enroll in our 401(k) plan which has a 4% match.
Company paid life insurance, short and long term disability, in house and paid training opportunities, and additional pay for working holidays.
Job Responsibilities of an Administrative Assistant
- Provide superior customer service to all participants, staff and visitors in a courteous, welcoming and professional manner
- Manage participant flow by providing timely check-in procedures upon arrival
- Answer incoming calls, providing information regarding treatment services, screening prospective patients and general inquires;
transferring calls to the appropriate source as needed
- Utilize electronic medical record and advanced clinic automation methadone software to ensure information received is accurate, timely, and moved through the approval process efficiently
- Collect outstanding balances, coinsurances, deductibles, copays and self-pay balances and accurately post payments
- Reconcile daily receipts and money collected with end of day reports to confirm money balances and prepare

Qualifications of an Administrative Assistant
Education and Experience
- Minimum of HS diploma or GED
- Minimum one year of experience in front office, customer service or related field. Behavioral health experience a plus
Knowledge, Skills and Abilities
- Professional interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
- Highly organized and detail-oriented
- Demonstrated ability and willingness to learn, strong attention to detail, positive attitude and ability to be flexible and embrace change in a fast-paced environment
- Commitment to strong customer service focus rooted in empathy
- Excellent time management and prioritization skills to handle and manage high volume of calls
- Organizational skills to prioritize workload and meet deadlines, develop and carry-out project assignments in an efficient and timely manner and to provide accurate and succinct documentation of activities
- Ability to use an electronic medical record system
- Comfortable with MS Office Suite and windows-based applications
