POSITION DETAILS
The Enrollment Management and Student Affairs Division (EMSA) is comprised of AccessABILITY Services, Admissions, Advising & Transfer Support, Connect Center, Counseling & Wellness Center, Financial Aid, Student Conduct & Community Standards, Student Information Center - The HUB, Student Life, United Men of Color (UMOC), Veteran Student Services, Women of GRIT, and Women’s Resource Services.
Reporting to the Vice President for Enrollment Management and Student Affairs, the Administrative Specialist provides administrative support to the Vice President and supports projects, initiatives, and activities that support enrollment, retention, and student success.
The Administrative Specialist for EMSA is responsible for, but not limited to, the following duties :
Provide administrative support to the Vice President for Enrollment Management & Student Affairs and the Dean within the division, including record keeping, distributing information, scheduling, preparing routine communications ensuring proper allocation of resources, and other administrative functions as needed.
Maintain the calendars of the VP for Enrollment Management & Student Affairs and the Dean within the division to ensure all commitments, responsibilities, and deadlines are met.
Collaborate with internal and external constituents to collect and report on programming, retention, and engagement data.
Assist with monitoring, evaluating, and resolving student inquiries and campus matters related to Enrollment Management & Student Affairs
Assist with the collection, coordination, and communication of student Medical Leave of Absence and Return to Active Status requests.
Manage divisional budget, purchasing, accounting, and process invoices and reconciliations in CUNYfirst.
Assist in the planning, communication, and coordination of divisional events and activities.
Coordinate staff timesheets, leave, attendance, and schedules for the EMSA Division.
Assist in the coordination of special professional development and training for students and EMSA staff.
Supervise and train support staff and student workers.
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.
PREFERRED QUALIFICATIONS
Related work experience in a nonprofit and / or higher education setting
Academic and / or student development experience with diverse student populations, particularly under-prepared high school or college students in an educational setting or program
Excellent time management, organizational and computer software skills, including Microsoft Word, Excel, and PowerPoint,
Ability to work independently and collaboratively with multiple constituents
Proven leadership, strong work ethic, character, personal integrity, and ability to work with the highest forms of professionalism, discretion, and confidentiality in a fast-paced environment
Detail oriented with strong writing, analytical, evaluative, and organizational skills
Ability to work well in a time-sensitive, dynamic, student centered and responsive office
Flexibility to work outside of the normal business hours, as needed

Provides administrative and program support to an administrative or academic department.
Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.
Works with appropriate offices related to personnel recruitment, expediting search activities
Research coordinates and organizes materials for key events such as promotion and tenure reviews.
Supervises and trains support staff and student workers.
Manages budget and coordinates purchasing, accounting, and payroll.
Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.
Performs related duties as assigned.
