Internship And Outreach Coordinator

The Internship and Outreach Coordinator will maintain and manage a robust portfolio of internships, and will be the lead student adviser and placement officer for summer research opportunities for the Center for Health and Wellbeing's Internships in Global Health program. The Coordinator will review applications and advise students individually or in groups on internship opportunities, personal goals, program selection, health and safety issues, inter-cultural competency, etc.; plan marketing, recruiting and coordinate events including but not limited to arranging pre-departure briefings and monitoring student experiences during the summer, assisting students with post-internship presentations, and assessing student evaluations. The Coordinator will serve as the primary liaison for external partners, and will manage all programmatic communications with them. This position will coordinate research visits of 5-10 heath-focused international students and postdocs to Princeton per year for one semester or summer term. The Coordinator will serve as the direct supervisor for approximately ten undergraduate student summer research assistants. The incumbent will manage and coordinate logistics for workshops, public talks, seminars, panels, symposia, guest speakers, and other events organized by the Center for Health and Wellbeing, the undergraduate Program in Global Health and Health Policy, and the graduate Program in Health and Health Policy.

Responsibilities

Direct Student Internship And Research Program : Manage a robust portfolio of approximately 100 internships and research opportunities for the Center for Health and Wellbeing's Internships in Global Health program, Pandemic Preparedness and Response Initiative, and Africa Health Research Initiative. Develop new internship opportunities for Princeton undergraduate and graduate students while maintaining existing partnerships. Liaise remotely and travel domestically and internationally to meet with host staff to assess suitability of placements. Serve as the primary liaison for external partners, and manage all programmatic communications with them. Plan marketing and recruiting activities, drafting and disseminating informational brochures. Review applications, and manage student selection and placement. Advise students on personal goals, program selection, health and safety issues, and inter-cultural competency. Arrange pre-departure briefings. Provide ongoing support for interns while at site. Serve as emergency point of contact for summer interns in case of emergency. Manage post-internship student presentations and evaluations. Assist with visa advising as needed; stay current with evolving immigration issues, policies, and regulations.

Coordinate Visiting Student And Scholar Program : Coordinate semester or summer-long research visits of approximately 5-10 health-focused international students and postdoctoral researchers per year on the Princeton campus through the CHW Health Research Collaboration Initiative. In collaboration with Princeton faculty and the Center for Health and Wellbeing Executive Director, identify and select visitors from international partner research institutions and universities. Assist with facilitation of travel, accommodation, university clearances, and other logistical steps. Secure faculty sponsors for visitors, and submit course audit requests as necessary. Integrate visitors into broader Center for Health and Wellbeing community during research visits. Recommend strategies for broader campus and cultural engagement, taking advantage of available campus resources for international students.

Event Management : Manage logistics for Center for Health and Wellbeing and Global Health Program workshops, public talks, seminars, panels, symposia, guest speakers, and other events. Coordinate travel, lodging, and reimbursement arrangements for guests and visitors. Select menus to conform with program budgets, order food, and ensure proper and accurate billing. Reserve rooms on campus for events, and arrange for online webinar space as required for virtual events. Coordinate room setup and cleanup with appropriate facilities or janitorial staff. Manage pre-event attendee registration process. Document highlights of events with photos and video footage, in coordination with office communications specialist. Publicize events through e-mail, social media, and by partnering with Princeton Print & Mail Services design team to produce posters.

Financial Management : Manage financial budgeting and procurement activities involving the Internships in Global Health program and involving events sponsored by the Center for Health and Wellbeing, including executing the $400,000+ summer stipend budget for up to 100 undergraduate and graduate student interns and research assistants. Ensure that term and endowed funds are allocated and spent according to university and donor requirements. Approve and process payment requests for speaker travel and honoraria; catering fees, conference services, and other expenses in collaboration with the Program Manager. Reconcile and submit credit card statements in Concur on a monthly basis. Send award letters to students receiving CHW summer funding. Disburse fund awards to student interns and researchers via the SAFE, Concur, and GPS applications. Compile summaries of student research activities for donor stewardship letters and to solicit new donors.

Program Support : Write summaries about office initiatives and events for dissemination online. Add or update material on the CHW and GHP websites as required. Support faculty and student projects as required. Assist with data collection for annual donor reports. Meet with students to answer inquiries about general GHP policies and requirements. Serve as backup or surge support to CHW Administrator when needed to provide support to students, faculty, and staff clients. Additional duties as assigned.

Supervision : Directly supervising approximately ten undergraduate research assistants for 8-12 weeks during the summer, including managing their recruitment, selection, onboarding, day-to-day management, feedback, evaluation, and payment.

Qualifications

Essential Qualifications :

  • Bachelor's degree, with minimum five years of relevant work experience.
  • Excellent customer service and communications skills, both oral and written. Ability to effectively communicate in a variety of situations, including interpersonal and formal large-group settings. Ability to distill and convey information to multiple audiences (students, guardians, mentors, University administrators) and to work in a diverse environment.
  • Ability to work independently and strong self-motivation.
  • Ability to develop and maintain relationships and work collaboratively with a variety of stakeholders including students, faculty, administrators, and external partners.
  • Experience coordinating logistics for major events or activities.
  • Strong organizational skills, with the ability to manage multiple projects and tasks at the same time. Sound judgment and a high degree of discretion in handling sensitive matters.
  • Strong problem solving ability.
  • Ability to work on a flexible schedule, as needed; this may include occasional work on evenings and weekends.
  • Proficiency using Microsoft Word, Excel, Access, and PowerPoint.

Preferred Qualifications :

  • Familiarity with the use of social media tools, and with basic website maintenance.
  • International travel and / or work experience.
  • Experience working in a higher education environment.
  • Experience using computer applications PeopleSoft, Adobe Acrobat, Princeton Prime, Global Programs System (GPS), Handshake, Canvas, and Drupal.
