Responsibilities :
- Work in a collaborative team environment to assist with administrative duties and assignments to meet the needs of the particular resource group as well as the department’s internal and external clients.
- Relies on judgment to plan and accomplish goals.
- Works under general supervision.
- Reports to the Manager of Administrative Services.
- Administrative tasks to include planning, scheduling, tracking, and updating of various reports.
- Coordination, organization, production, and quality assurance of project documents.
- Process and manage contracts, purchase orders, and change orders.
- Process and manage project RFIs, RFPs, punch lists, meeting minutes, requisitions, and daily reports.
- Create various spreadsheets, databases, and tables for projects and programs.
- Production and assembly of construction specifications and bid documents.
- Proofread and / or edit letters and reports.
- Organize and schedule meetings.
- Handle confidential information.
- Preparation of project material for client delivery.
- Copying, filing, and faxing as needed.
- Support reception and other Project Assistants as needed.
- Training of new employees as needed.
- May support other disciplines.
Qualifications :
- Associates Degree preferred or equivalent work experience in the field or in a related area.
- 6-10 years’ of experience is preferred.
- Strong skills in prioritization, organization, coordination, flexibility, multi-tasking and excellent written and verbal communications required.
- Good grammar, accuracy, proofreading, aptitude for numbers.
- Detail oriented, organizational and planning skills.
- Any experience in construction administration and experience using construction management software is a huge plus.
- Experience Microsoft Office Suite is required.

Hourly Pay Range : $20 $24.
