The buyer participates in the RFP, RFQ process, reviewing suppliers' price quotes and financial reports before negotiating contracts.
The buyer may visit suppliers' plants or distribution centers to learn more about product varieties and the services they offer.
The buyer attends trade shows and conferences to research new industry trends and technologies.

ABOUT THE ROLE :
The points below highlight the Buyer / Purchasing Agent duties :
Assist with the preparation and implementation of RFP, RFQ, and reviewing price quotes and financials prior to negotiating with vendors.
Buyer is very involved in the final negotiations with the vendors. 40% of this prep and implementation is negotiation. The rest is gathering the data, running the analysis, presenting data to the Supplier owner and Leadership team, and following up with the vendor based on the RFP review.
The contracts negotiated by the buyer are usually valued at $250K annually and below.
- Uses information from interviews, site visits, trade shows, internet, commercial and technical publications, and other resources to select vendors in order to develop and maintain an effective vendor base for procurement of various services.
- Assist with determining all company business unit needs and expectations through contact with staff or needs assessment techniques and ensure KPIs are being met, as well as Geodis standards.
- Research and prepare specifications based on business units, campus buyers, and workstream owners’ needs assessment
- Helps to obtain competitive price quotes
- Assist with providing and coordinating product and service trial periods or demonstrations as required
- Develop details to support the recommendation of the most appropriate and cost-effective alternatives to the business unit or the head of procurement.
- Assist departments in the evaluation of goods and services as needed
- Responsible for investigating and resolving conflicts concerning materials or services at the
- department and vendor levels This requires coordination between Procurement, the vendor, and internal campus mgmt. The Buyer provides a platform to submit issues to the vendor, work with the site, and request credits where necessary.
- Coordinates delivery and installation
- Confirms with campus buyers and IT that all products are received in a condition consistent with the original request or bid
- Maintains constant contact with appropriate personnel to ensure satisfactory operations
- Reviews warranties
- Coordinates returns and / or repairs of products; monitors changes, modifications, and technological advances that affect the purchasing of goods and services utilized by the County Office
- Responsible for procuring appropriate items or services
- Creates and reviews purchase orders
- Research and resolves receiving and accounts payable issues; inputs, edits, and retrieves purchasing data
- Disburses and maintains files related to purchase orders and purchasing, including other department files pertaining to vendors, bids, quotes, and other correspondence
- Analyzes telecommunication, voice, and infrastructure spend
- Audits and reconciles telecom and energy bills monthly
- Creates analysis for campus buyers and financial analysts
- Recommends and implements key initiatives to improve optimization by campus The buyer is responsible for the implementation of best practices and the standardization of processes.
- Trains process field / dept. coordinators
- Manages category spend to leverage spend for GEODIS
- Conducts site visits to suppliers’ distribution centers to obtain a better understanding of product varieties and services the supplier offers
- Other duties as required and assigned

Requirements :
- Bachelor’s degree from a 4-year college or university
- 2 years relevant experience with analytical responsibility required
- Sourcing and buying experience preferred as well as a financial and accounting background
- Must have exceptional computer skills and experience with databases such as Excel and Access and presentation skills using PowerPoint
- Interpret and have extensive knowledge of a wide variety of procurement regulations, procedures, and policies
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manual
- Ability to write routine reports and correspondence
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
