We are looking for a highly organized and detail-oriented Construction Administrative Assistant to join our team and support our construction division.

The Construction Administrative Assistant will play a key role in supporting our construction team by managing various administrative tasks, ensuring the smooth operation of projects, and maintaining clear communication with clients, subcontractors, and other team members.

Responsibilities :

  • Document Management : Organize, manage, and maintain all construction-related documents, including contracts, permits, blueprints, and job files.
  • Communication : Serve as a point of contact between project managers, job file coordinators, clients, subcontractors, and vendors, ensuring that all parties are informed and updated regularly.
  • Scheduling : Assist with scheduling and coordinating project timelines, meetings, and inspections to ensure timely project completion.
  • Data Entry : Accurately input and maintain project data, including budgets, schedules, and personnel records, using SERVPROs project management software.
  • Financial Support : Assist with the preparation and tracking of purchase orders, invoices, and other financial documents related to construction projects.
  • Compliance : Ensure all construction activities adhere to local, state, and federal regulations, as well as SERVPROs standards and guidelines.
  • Customer Service : Provide excellent customer service by addressing client inquiries and concerns in a timely and professional manner.

Experience :

  • Previous experience in a construction industry role is MUST.
  • Experience in an office setting is a MUST.

Skills :

  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with construction management software.
  • Knowledge of construction terminology and documentation is a plus.
  • Strong attention to detail and problem-solving skills.
