Job Summary
The Program Administrative Assistant provides clerical, administrative and communication support for the Diabetes Team and participates in the communication plan of the Sharecare Diabetes Self-Management Education and Support (DSMES) program to clients, physicians, and organizations.
This position requires the ability to perform multiple tasks with excellent organizational and computer skills in a busy office setting.
The responsibilities require a person who views the physician and their office staff as a customer, who actively explores customer needs and finds creative solutions to satisfy those needs.

Primary Responsibilities
- Schedule appointments for program staff for outpatient services.
- Responsible for telephone inquiry handling, conversion and reporting.
- Triage, document and communicate messages to the diabetes clinicians.
- Track and log referrals.
- File and maintain medical records according to hospital medical record policy and procedure and in accordance with Sharecare Quality Assurance.
- Responsible for word processing, recording, and filing reports, correspondence, and documents essential to team function.
- Maintain accurate inpatient, outpatient, and physician data and prepares routine reports.
- Develop relationships with and act as liaison to physician's office staff.
Secondary Responsibilities
- Work with the Hospital Program Manager / Director, physicians, diabetes staff and other hospital staff to achieve program objectives and enhance clinical outcomes and customer satisfaction.
- Support the Hospital Program Manager / Director in the development and implementation of the communication plan established for the Center.
- Represent Sharecare to physicians, local and national organizations, and community groups.
- Schedule hours and activities based on customer needs.
- Conduct and track meaningful interactions with physicians.
- Support the Hospital Program Manager / Director and Diabetes Team by preparing presentations for hospital and physician committees.
- Facilitate interaction with Third Party Payers - provides information to them and assists physician / patients in their interactions as necessary.
- Periodically assess payer reimbursement versus collections for outpatient services.
- Prepare and have available packets of materials for center promotion, patient education and treatment information.
- Schedule conference calls as requested and participate as appropriate.

Qualifications : Required :
Required :
- High School Diploma or GED
- Ability to use computer software programs to include but not limited to Microsoft Office (Outlook, Word, Excel, PowerPoint), databases and other office machines.
Preferred :
- Minimum experience of 1 year in administrative assistant position
- College degree
- Prior marketing / public relations / healthcare experience
- Prior experience in a hospital setting
- Medical billing, patient registration and scheduling experience
