PRIMARY PURPOSE : In partnership with the Adoptions Manager, the Assistant Manager dedicates their time to leading the team toward high-level people care at all times.
Supports the Adoptions team with leadership of adoptions program on and off-site and oversees the Adoptions retail store.
Responsible for the adoptions counseling process as well as the daily care of animals in adoptions areas. Responsible for assisting Adoption Manager in training employees and procedural execution, along with compliance with policies and procedures.

ESSENTIAL DUTIES / FUNCTIONS :
People Care. Leads by example. Exudes passion and excitement around supporting potential adopters to find their best match while promoting ways to connect them to the Hawaiian Humane mission.
Is equally passionate about supporting the Adoptions team, volunteers, and members of the community in daily work. Excellent follow-up and time management skills with internal and external stakeholders while maintaining exceptional people care values are essential skills to this role.

Program Development. Ensures activities within the Adoptions program are aligned with the Open Adoption philosophy and industry best practices.
Ensures that relevant organization information is shared promptly and that there is compliance with existing policies and protocols.
Provides feedback and insight into process and protocol improvement, updating or developing SOPs when appropriate. In partnership with the Adoptions Manager, evaluates the department's impact internally and externally, working with the broader Hawaiian Humane team to ensure best outcomes for animals.
Mentors Adoptions team members, assists in daily and weekly team scheduling, and trains team members within and outside the department.
Assists in planning and leading daily team huddles and department staff meetings to engage and motivate team. Supports team member and volunteer recruitment process as needed.
Assists and supports Adoptions leadership team in employee performance tracking, team accountability, and development.
Retail Store. Assists the Adoptions team in general oversight and meeting or exceeding goals for retail operation. This may include monthly inventory and sales reports, organization and restocking of merchandise, and ensuring that the aesthetics of the area are maintained.
Responsible for the generation and reporting of cash receipts. Leads promotional efforts and ensures that retail efforts are considered with events and other activities held at Hawaiian Humane when relevant.
Adoptions Ambassador. Works with Adoptions team members to learn about all animals available for adoption each day to enable thoughtful conversations with potential adopters selecting a new pet.
Works collaboratively internally to ensure that adopters receive pertinent behavioral or medical needs of each animal and the appropriate support or guidance to manage such needs at home.
Animal Care Management . Leads team members to ensure the humane care of adoptions animals and / or cleaning of animal enclosures daily.
Communicates and works collaboratively with all departments depending on the individual adoption animal to address specific health or behavioral needs.
Treats all animals humanely and with compassion according to industry best practices.
Adoptions Center Maintenance. Ensures a clean, organized, and welcoming adoptions center including lanai areas, walkways, animal enclosures, and any community-facing areas.
Ensures donations are distributed to designated areas throughout the day. Assists the Adoptions team to order and track supply usage within the department as needed.
Population Management. Collaborates cross-departmentally, ensuring available animals are promptly moved to open enclosures or off-site locations.
Assists in transport to off-site locations and scheduling of staff to transport animals to off-site locations.
OTHER DUTIES / FUNCTIONS :
- Operations Support. Works with other departments within the organization to problem solve and manage challenges effectively and with people care at the forefront.
- Vehicle Maintenance. Responsible for vehicle and equipment cleaning, disinfecting and restocking according to Hawaiian Humane's established procedures.
Ensures vehicle inspections are being completed and gas receipts are submitted.
Off-site Adoptions Support. Assist with off-site animal adoptions, special events, animal care duties, and coordinating transfers to partnership locations.
Communicates effectively on program needs with the Off-site Adoptions Coordinator. Ensures on-site and off-site programs are working together and effectively to fulfill adopter needs.
Other Duties as Assigned. May include organization-wide support as needed, including but not limited to participation in events, serving as spokesperson, fundraising, covering other operational departments, and Hawaiian Humane's role as a first responder to disasters.
JOB CONDITIONS :
- Work Environment : Indoors and outdoors as needed.
- Animal Handling : Required to handle all sizes and species available for adoption.
- Equipment Use : Computer, cash register, database and telephone systems. Use of all sheltering-related animal equipment including tools for containing animals humanely, safely, and securely.
- Hours : Based on operational requirements. Must be available full-time and available to work over 40 hours, as needed, any 7 days of the week, weekends and holidays.

- Must have no limitations to prevent handling or working with animals.
QUALIFICATION REQUIREMENTS :
Skills / Knowledge : Must have excellent customer service skills including verbal, written and computer skills. Must be able to competently perform cash, computer, and paperwork transactions.
Must be willing to drive company vehicles including animal transport trucks. Must pass a driving background check with a valid driver's license and acceptable driving record according to organizational policy.
- Education / Training : High school diploma or equivalent required.
- Experience : Two years of customer service required. Minimum one year of leadership experience preferred. Minimum of one year of animal handling experience preferred.
