Position Summary :
The Senior Manager, Grantmaking Resource Center (GRC) with a focus on Pre-Award Coordination is responsible for the overall workflow management of the Endowment’s proposal intake and review cycle, reporting to the Senior Director, Grantmaking Resource Center (GRC).
The Senior Manager leads the GRC function responsible for facilitating, documenting, and ensuring the integrity of the business process for all of the teams involved in the pre-approval phase of the grant lifecycle.
The Senior Manager supervises the proposal intake sub-team within the GRC and ensures the quality and efficiency of the process, working collaboratively with the other functions of the GRC and across the organization to achieve GRC and institutional objectives.
Responsibilities :
- Supervises a team of Program Assistants who support NED’s pre-approval proposal intake and review process
- Manages pre-award processes, ensuring appropriate coordination is taking place across departments. Flag and help resolve information flow and workflow bottlenecks, raising issues to the Senior Director and Vice Presidents as appropriate
- Oversees the production and dissemination of the proposal docket to senior leadership and the board of directors, with attention to accuracy and quality assurance
- Sets the annualreview calendar with input from internal and external parties
- Monitors and provides regular updates and analysis on the proposal intake and review process for senior staff
- Generates new process ideas and guidance as needed in response to new challenges or to improve efficiencies through coordination with grantmaking departments
- Maintains process documentation and updates as needed, ensuring easy availability of process resources for staff, in collaboration with documentation and training function of GRC.
- Conducts an annual review of templates and guidelines to ensure updates align with guidance and process documentation, in collaboration with documentation and training function of GRC.
- Works closely with the Grant Systems function of the GRC on pre-approval systems issues
- Develops and maintains strong working relationships with internal teams and counterparts at NED’s four core institutes
- Perform other duties as may be assigned.
- The level of responsibility and independence in assigned tasks will increase with experience.
Qualifications :
- BA or BS degree or equivalent experience required
- 8-10 years of experience in an office environment with increasing levels of responsibility. Prior experience with business systems, foundation or nonprofit administration, or grants management preferred.
- Prior supervisory experience a plus.
- Appreciation of the NED’s mission. Related regional, functional, and language capabilities a plus.
- Experience with process management, documentation, and coordination.
- Experience with Salesforce, grants management system, or other workflow / enterprise management system
- Proficiency in MS Office, Teams, SharePoint, ShareFile
- Experience in training and developing training materials
- Customer service orientation
- Good judgment, resourcefulness, and problem-solving skills
- Excellent oral and written communication skills
- Highly organized and efficient; able to prioritize work based on minimal direction and multiple competing priorities
- Strong interpersonal skills; able to liaise effectively between staff of different levels and across functions
- Ability to work independently, take initiative, and be responsive to staff requests
- Familiarity with international activities / issues relevant to NED’s operating environment.
- Authorized to work in the United States.
