Job Summary Responsible for building and maintaining relationships with prospective.. Provides information, coaching and assistance to prospective students, families and high school counselors.

Advises a defined caseload of students from receiving application through the admissions process until official day of recording a caring and engaging environment.

Responsible for implementing recruitment and enrollment strategies and utilizing a caseload management approach to support students throughout registration.

Essential Duties and Responsibilities

  • Provides information and assistance to prospective students, and their families regarding admission and financial aid application procedures
  • Receives and processes documents to complete admissions process for a defined caseload of students.
  • Responsible for utilizing communication management system to maintain caseload and send targeted messaging via email or sms depending on the student’s status.
  • Maintains a collaborative relationship with primary and secondary school administrators, counselors, teachers and community organizations.
  • Develops implements, maintains and evaluates a system to increase the matriculation of applicant to enrolled students for defined caseload.
  • Solves issues related to the enrollment process, reviews student’s enrollment requirements and degree audits. Assists students with identifying college resources that will be able to assist them in being successful with their career goals.
  • Conducts one-on-one or group meetings with prospective students and / or parents to disseminate college information on campus, during high school visits, or community and outreach events.
  • Develops and facilitates workshops and presentations using PowerPoint and other media solutions during orientation, school visits, or during community or outreach events.
  • Maintains awareness of best practices, emerging trends and new legislation relating to Admissions, Records, High School relations and recruitment and advising.
  • Develops standard operating procedures for conducting campus tours and presentations for individuals and groups.
  • Evaluates transcripts from previous high schools, colleges and universities. Computes and checks grade point averages, verifies class standing, and reviews individual student degree plans to insure completeness and accuracy.

Corresponds with officials of high schools and institutions of higher education concerning course credit and content comparability.

  • Evaluates residency status and assigns the appropriate residency classification. Provides information regarding residency to students, staff and the College community.
  • Ensures compliance with SEVIS and other applicable immigration regulations, including determining eligibility of student visas and reviewing correspondence and issuing immigration documents.
  • Verifies / certifies reports, files, enrollment status, records, and applications within FERPA guidelines and assists in preparation of semester grade transcripts, degree plans, diplomas and certificates.

Performs add / drops, withdrawals and grade changes as required.

  • Assists with preparation and production of new student orientation and College commencement exercises.
  • Assesses student needs, goals, interests and prior academic experiences to guide students in the design and implementation of a successful academic and career plan.
  • Provides guidance in course selection in keeping with the student’s career plans and academic status.
  • Works closely with college faculty to monitor academic progress of students.
  • Maintains current knowledge of all degree and certificates programs.
  • Attends the workplace regularly, reports to work punctually and follows a work schedule to keep up with the demands of the worksite.
  • Working hours may include evenings, holidays or weekends depending on deadline requirements and special events.
  • Completes duties and responsibilities in compliance with college standards, policies and guidelines.
  • Uses interpersonal skills and makes sound judgments to decide how duties and responsibilities are completed between coworkers, the supervisory chain, faculty, staff, students, and customers.
  • Completes all required training and professional development sessions sponsored by Texas Southmost College.
  • Supports the values and institutional goals as defined in the College’s Strategic Plan.
  • Participates in the development of outcomes, monitors assessment of those appropriate outcomes, and assists in the development of plans of action for improvement based on the assessment of those outcomes.
  • Participates in the process for systematic review and evaluation per the institutional effectiveness model adopted by the College.
  • Promotes positive morale and teamwork within the department and provides exceptional customer service to students, faculty and community.
  • Serves on committees as appropriate and as appointed by supervisor.
  • Performs other duties as assigned. Required Knowledge and Skills

Required Education and Experience To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Bachelor’s degree from an accredited university with one (1) year of direct experience working in the recruitment, advising, high school relations, admissions, records and outreach or related field in a college or university setting or an Associate’s degree from an accredited college with three (3) years of direct experience working in recruitment, advising, high school relations, admissions, records and outreach.
