Position : Executive Assistant (Hybrid)
Location : Newark, NJ
About the Role :
Proactively manage executives' calendars, scheduling complex internal and external meetings with senior leaders, international teams, and key clients such as top agents and production companies.
Ensure scheduling across global time zones is as convenient as possible.
- Collaborate closely with fellow coordinators and executive assistants for meetings involving senior management.
- Submit and track monthly expenses (personal and corporate, including mobile bills and domestic / international travel) in a timely manner.
- Provide relationship management support, which may include handling follow-up calls, data entry, and other communication tasks.
- Identify and proactively address administrative needs, offering assistance on projects to support organizational operations.
- Perform various administrative duties as needed, including visitor registration, parking coordination, and other logistical support.
- Coordinate large team meetings and events, including All Hands meetings, brainstorm sessions, presentations, trainings, and community outreach initiatives.
Qualifications :
- Experience in entertainment, publishing, or broadcasting industries is ideal.
- Professionalism and Interpersonal Skills : Must be sensitive to business needs and a collaborative team player.
- Accountability : Dependable and self-motivated, with a strong sense of ownership over assigned tasks.
- Technical Skills : Proficiency in Outlook and Microsoft Suite, especially Word and Excel.
- Strong Communication Skills : Clear and prompt verbal and written communication, especially when addressing issues.
- Organizational and Prioritization Skills : Capable of managing multiple tasks in a fast-paced, evolving environment.
- Language Skills : Fluency in Spanish is preferred.
