JOB DESCRIPTION.

The Executive Administrative Assistant to the Chief Executive Officer (CEO) and is responsible for performing a wide range of administrative and office support activities for the CEO.

This position requires communication and management of interactions at the local, state, and federal level. This position will be responsible for proficiency in multiple areas that includes project management, general administrative tasks, Board support, and supporting the CEO with developing internal and external communication materials.

The Executive Administrative Assistant to the CEO handles highly confidential information and must strictly adhere to HIPAA and other confidential guidelines.

The Executive Administrative Assistant to the CEO provides limited coverage in the absence of the Executive Administrative Assistant to the Chief Programs Officer (CPO).

JOB COMPLEXITY.

  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization including oversight of agency initiatives, projects, and strategic plan
  • Coordinate internal and external meeting schedules for the CEO
  • Assist the CEO in preparing internal and external agendas, presentations, meetings, trainings and track and complete follow up and action items
  • Provide project management support to the Board by preparing for Board meetings and managing schedules and calendars. Assist the Board with tasks and projects, take Board minutes, manage the Board library and track and complete actions and follow up items
  • Assist with logistics and coordination for Executive Team meetings, Administrative meetings, All Staff meetings and Agency events
  • Assist CEO with developing up to date content for Harmonium’s website, social media, newsletters, annual report and other marketing materials
  • Assist with grant writing efforts by independently researching data, analyzing data, and reviewing reports and other resources
  • Manage and maintain supervisor’s schedule, paying close attention to detail and exercising excellent customer service

MINIMUM COMPETENCIES.

  • Minimum of 3 years of executive level administrative assistance
  • A Bachelor’s degree in a related field with Business is preferred.
  • Nonprofit experience is required. A combination of education and experience that demonstrates the ability to perform the duties of the position will be considered.
  • Ability to complete a high volume of tasks and projects with minimal assistance
  • Proficient in Word, Excel, PowerPoint and Google Apps for Business including Google Workspace, Gmail & Drive
  • Experience with data collection
  • Ability to work evening hours a minimum of once a month
  • Able to type minimum of 55 words per minute with accuracy
  • Strong ability to execute work with a diversity, equity, and inclusion lens
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners

COMPENSATION.

  • Starting Rate : $26.78 per hour (all new hires begin at starting salary regardless of experience)
  • Full Time benefits include medical, dental, vision, pet, life, and critical illness insurance, a 403b retirement plan plus match, and Vacation & Sick time.
