Overview

The Office Manager will be responsible for managing our front desk, checking in visitors, collecting packages, ordering office / kitchen supplies, managing building-related vendors and being the point of contact for any general office questions or concerns.

This person will be the first point of contact for anyone entering the office and will be responsible for providing quality customer service to employees and visitors.

This person will also assist with onboarding / offboarding tasks and be the main liaison for employee IT requests. This role requires a dependable person who also exhibits the utmost professionalism, communicates effectively, and knows when / how to exercise discretion.

You will be required to work onsite five days a week (Monday Friday).

What You’ll Do

Act as the day-to-day liaison / first point of contact for employees and visitors entering the office

Manage the receiving and distribution of mail and packages.

Communicate and oversee implementation of office operations, policies and procedures. Responsible for the posting of any relevant office updates or rules

Maintain and update office phone lists, email distribution lists, and other similar systems.

Provide support for company events and / or meetings including helping to set up or break down the office space used, ordering and / or picking up food, and helping to coordinate with guests or vendors

Manage and communicate with external janitorial service to ensure the office is clean and supplies for the office, kitchen, and bathroom are always stocked.

Advise of any improvements that can be made to the office and promptly notify of any office issues (ex : leaks, low inventory on supplies, etc) to People & Culture Manager.

Ensure kitchen space is always clean and stocked with necessary supplies and snacks / drinks.

Manage our employee slack channel, #techsupport and be the liaison between our employees and our external IT team

Assist the People & Culture team with onboarding and offboarding tasks as needed

Responsible for the retrieval of employee equipment upon termination

What We Are Looking For

Minimum of 4 years of experience in an Office Management role

Excellent verbal and written communication skills.

Excellent interpersonal and customer service skills.

Excellent organizational skills and attention to detail.

Ability to be adept at multitasking and prioritizing.

Applies judgment with a full understanding of the urgency and priorities of the business

Proficient with GSuite and Microsoft Office Suite or related software.

Ability to handle confidential materials and issues in a professional manner

Familiarity with office equipment and applications (e.g. calendars, copy machines, inventory lists, budget lists, etc).

Ability to anticipate needs, problem solve, and identify solutions; understand juggling priorities, timely with follow up; with

Positive go-getter attitude who can thrive in a growing office environment
