Requirements

As the Executive Assistant, you will play a pivotal role in optimizing the timizing the personal and business life of the company's owner, allowing them to fully focus on growing and expanding the business.

You'll be the go-to person for our CEO, providing essential support in sales, marketing, and business development. Your role is all about helping streamline CRM management and assisting with day-to-day tasks, enabling our CEO to focus on lead generation and key strategic activities.

CRM Setup and Management

  • Assist in the data entry, selection, setup, and configuration of CRM systems tailored to our agency's needs.
  • Maintain and update CRM data, ensuring accuracy and consistency.
  • Develop and implement workflows, automation, and reporting within the CRM to enhance productivity.
  • Train team members on CRM usage and best practices.

Sales & Marketing Support

  • Assist the CEO with lead generation activities, including research, outreach, and follow-ups.
  • Prepare and organize sales presentations, proposals, and contracts.
  • Manage and track the sales pipeline, ensuring timely follow-up and progression of leads.
  • Conduct market research to support new business development initiatives.

Administrative Support

  • Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements.
  • Handle email correspondence, filtering and prioritizing messages.
  • Prepare reports, presentations, and other documents as required.

Working Hours : This is a full-time role, ideally with full ET working hours or at least a 5-hour overlap to ensure seamless communication.

To excel in this role, you need to have :

Proven experience as an Executive Assistant or in a similar role.

Experience working remotely.

Strong experience with CRM systems (e.g., HubSpot, Salesforce, Zoho, HighLevel).

Proficiency in MS Office Suite and Google Workspace.

Excellent organizational and time-management skills.

Strong communication skills, both written and verbal.

Proficient in English, both written and verbal.

Ability to work independently and handle multiple tasks simultaneously.

Experience in sales and marketing support.

Prior experience working with US-based companies.
