Oliver Wyman is now looking for an Executive Assistant Team Manager in Paris
We are looking for an enthusiastic, motivated people-person to join our team based in Paris to oversee the provision of high-quality day to day operations of the French Executive Assistant team.
This will include overall responsibility for approx. 20 direct reports who work as Assistants supporting the Partner team.
This includes coordination and management of staff ensuring development of skills and experience.
To become familiar with the OW EA role, this person will also support a light use Partner in addition to their management responsibilities.
This role is a full-time 40 hours per week role and we operate a hybrid working policy, meaning that we expect the successful candidate to work in our Paris office at least 3 days each week.
The Opportunity : Team Management
Team Management
Help with creating positive and collaborative team dynamics
Be the team’s first point of contact for conflict resolution
Collaborating with Regional EA Manager and local office leadership on process enhancements to improve efficiencies and capacity management
Working on internal communications for the team ensuring relevant information is communicated to the team appropriately
Occasional involvement in special projects for EA Department
Workflow oversight
Managing coverage for the team (or backup workflow coverage)
Approving holiday, work from home requests (and timesheets where required)
Tracking attendance, punctuality, vacation, work from home , timesheets and overtime (where required)
Team Performance
Helping set annual performance goals for team
Providing coaching to team to help achieve goals, develop skills or improve performance
Collecting feedback from Partners in preparation for mid-year and year-end reviews
Writing and conducting mid-year and year-end reviews
Working with local leadership and Regional EA Manager to calibrate performance ratings
Assisting in managing performance issues in conjunction with local office leadership and Regional EA Manager
Recruiting
Assisting with all aspects of recruiting (screening potential candidates, first interviews, scheduling partners to interview candidates if needed and make offer recommendations)
Integrating new hires into team workflow
Training
Coordinating training schedule of new team members
Identifying skills / learning gaps for team and suggest training content
Providing feedback to Training Network on training materials
PARTNER SUPPORT :
The French EA Manager will also support one light use partner, including the following duties :
Calendar management; Travel arrangements; Timesheet and expenses
Partner point person for staff members
Arranging all marketing / pre-project client meetings
Supporting the sales cycle; Pipeline Tracking and contact management
Producing proposals, letters, contracts and Terms & Conditions (T&C) for the assigned Partner
What we’d love to see from you :
You’ll have at least five years’ experience working in an administrative management position.
Experience in management consultancy or similar professional services industry is preferred
Executive Assistant experience is essential, you’ll have proven experience of providing executive support to senior Partners / C-Suite leaders
You’ll be a strong personnel manager capable of recruiting, training, coaching and motivating a large group of Executive Assistant talent
Advanced knowledge of email systems (Outlook), Microsoft Office programs and databases (e.g., Client Relationship Management systems) is essential
You’ll be fluent in both French and English
Additionally, you’ll :

Have the ability to think strategically and contribute to development of departmental model and to undertake projects and produce quality and timely results
Be a natural self-starter, strong initiative, confidence and ability to work with little guidance
