Vice President of Administration & Finance

POSITION SUMMARY

The Vice President of Administration and Finance is the University’s chief business and financial officer and the principal steward of its financial and physical resources.

Principal responsibilities include providing leadership and direction to the offices of Business Affairs, Facilities management, and other initiatives to strengthen the University’s administrative and fiscal operations;

serving as support to board of trustees committees; participating on the Budget and Planning Committee; and coordinating with the President and other cabinet members to exercise stewardship of the University’s assets.

TASKS & RESPONSIBILITIES

Responsibilities for the financial health of the University :

  • Advises the President in all fiscal matters and provides leadership for the development and implementation of operational policies and practices.
  • Manages effective business operations, overseeing budgeting, financial reporting, audit, cash management, internal controls, payroll, and other functions.
  • Monitors budget expenditures, purchasing, University assets, and investment portfolio.
  • Ensures timely internal and external audits are performed and corrective actions taken as required.
  • Makes weekly reports to the President on the financial state of the University and ensures accurate financial reports are available to relevant stakeholders.

Responsibilities for the physical plant of the University :

  • Advises the President on maintenance and preventive maintenance programs for the University’s structures and equipment.
  • Maintains oversight of Facilities Management Office functions.
  • Ensures compliance with federal and state laws, including the Americans with Disabilities Act and OSHA.
  • Makes weekly reports to the President on the physical facilities of the University.

Responsibilities for strengthening the University’s administrative and fiscal acumen :

  • Maintains membership in organizations that promote the health and growth of higher education.
  • Actively participates with relevant associations.

ADDITIONAL RESPONSIBILITIES

  • Must have a background in investments and creative strategies for money management.
  • Oversees and provides strategic leadership to University-wide business operations and systems.
  • Oversees and provides strategic leadership to University-wide IT operations.
  • Oversees and provides strategic leadership to University-wide Facilities and Risk Management operations.
  • Oversees and provides strategic leadership to campus-wide operations of Campus Safety and Security.
  • Confers with legislative auditors in the performance of audits.
  • Identifies potential funding sources and facilitates efforts to secure these resources.
  • Develops and updates strategic plans for Finance, Facilities, IT, and Campus Safety and Security.
  • Develops and manages the budget for Finance and Administration.
  • Supervises and evaluates the performance of assigned personnel.
  • Implements measures for determining the effectiveness and efficiency of the Finance and Administration Division.
  • Ensures Finance and Administration functions adhere to high-quality standards.
  • Fosters an environment that encourages creativity and professional development among staff.
  • Participates in the development of rules, regulations, and policies applicable to Finance and Administration.
  • Ensures compliance with regulations from accrediting bodies.
  • Maintains current knowledge on relevant laws, regulations, and best practices.
  • Monitors Finance and Administration website pages for accuracy.
  • Establishes procedures for financial record retention and disposal.
  • Establishes procedures for property management and disposal.
  • Evening and weekend work and overnight travel are required.
  • Performs other duties as assigned.

QUALIFICATIONS

  • Master’s degree in Finance, Business Management, Accounting, or related fields required. Certified Public Accountant preferred.
  • Minimum of 8 years of progressively responsible accounting and / or finance experience, preferably in higher education.
  • Minimum of 5 years management experience with demonstrated team building skills.
  • Experience in investments.
  • HBCU experience is a plus.
  • Impeccable soft skills.
  • Great leadership ability.

KNOWLEDGE, SKILLS, & ABILITIES

  • In-depth knowledge of facilities management.
  • Proficiency in oral and written communications.
  • Excellent knowledge of contemporary information technology and management systems.
  • Commitment to the mission of the University and effective management of fiscal operations.

SUPERVISION

This position reports to the President and CEO.

MAXIMUM SALARY

$130,000 plus benefits!
