Position Summary :
The Graduate Programs Administrator reports to the Administrative and Academic Manager and supports the Director, Graduate Coordinator, faculty and graduate students in the Louise McBee Institute of Higher Education.
This position is responsible for educating current and prospective graduate students on three graduate degree programs, admission requirements, student academic progress and opportunities.
The Graduate Programs Administrator communicates actively and is the first point of contact for resolving concerns related to recruitment, admissions, employment (assistantships), academic progress, and graduation.
The incumbent is responsible for maintaining and producing data on the program statistics, as required, and operating within appropriate systems to support the programs : Xitracs, GradSlate, GradStatus, Banner / Athena, etc.
Knowledge, Skills, Abilities and / or Competencies :
- Exceptional written and verbal communication skills and ability to interact professionally with a wide variety of community constituents.
- Proficiency in office practices, procedures, systems, and the Microsoft Office Suite.
- Ability to draft written materials for nomination and unit reports.
- Ability to plan, coordinate, and oversee multiple projects with a calm and professional demeanor.
- Strong attention to detail, initiative, and intellectual curiosity. Excellent organizational and time management skills.
- Ability to apply and communicate administrative rules, regulations, and policies effectively to faculty, staff, students, and other stakeholders.

Duties / Responsibilities :
Recruitment and Admissions :
- Serve as first point of contact for prospective students interested in MIHE graduate programs (PhD, Executive EdD, and MEd).
- Providing wholistic support for the application process, including ensuring that applicants have submitted all necessary information to GradSlate, by maintaining appropriate records, and by serving as the primary staff member responsible for supporting admissions committee reviews of applicants in alignment with UGA Graduate School policies and procedures.
- Coordinate and implement recruitment efforts, including developing recruitment plans and associated materials, planning the PhD campus visit in collaboration the Graduate Coordinator and staff, and applying for university-wide recruitment funding opportunities.
- Identify eligible students and assist in their nomination for university-wide fellowships and awards.
- Distribute admissions decisions and accompanying assistantship offers.

Program Administration :
- Coordinate & administer all aspects of graduate programs.
- Manage course scheduling process including uploading courses to Banner registration system and the 25Live event reservation system.
- Manage and lead events related to graduate programs, such as fall potluck, Institute graduation events, back-to-school / end-of-year celebrations, and other relevant events.
- Serve as staff representative on the Graduate Studies Committee to provide information and ideas to promote, grow, and recognize graduate students’ and graduate programs’ accomplishments in alignment with the unit’s strategic goals and priorities.
- Communicate Graduate School announcements and deadlines to faculty and students.
- Maintain familiarity with relevant UGA policies and operational command of system functions to support unit engagement with various university offices including but not limited to the Graduate School, Bursar’s Office, Registrar, Enrollment Management, Office of Online Learning, Office of Institutional Research, OVPI / Assessment, OVPI / Curriculum Systems

Enrolled Student Servies and Support :
- Manage all aspects of student advisement, enrollment, development, and degree progression.
- Serve as initial point of contact and resource for MIHE graduate students questions related to program progress or student development and appropriately refer issues or accomplishments to relevant parties
- Monitor, track, and report on student progress and milestone completion, including identifying early concerns to ensure students maintain good standing.
- Maintain familiarity with and provide resources and support to encourage and celebrate student success and well-being.
- Serve as liaison for students to range of UGA resources for their academic, professional, and personal development, including but not limited to the UGA Graduate School, Student Care & Outreach, Disability Resource Center, Center for Teaching and Learning, and Career Center (while maintaining student confidentiality in alignment with FERPA and other UGA policies).
- Work with program directors / coordinator of online master’s and EdD to support registration, program milestones, award nominations, and graduation.
- Appropriately file all relevant enrolled student services paperwork and tuition waivers with UGA Graduate School and other offices.

- Provide analysis & synthesis of MIHE graduate programs data to inform programmatic decisions and to assess their effectiveness.
- Track and provide regular updates / reports on admissions, enrollment, advising, and student progression.
- Manage Student Learning Outcomes annual data collection, analysis, and reporting for all 3 graduate programs.
- Administer student annual evaluations and course evaluations in alignment with unit standards
- Work closely with faculty and staff on additional data analysis & synthesis efforts

- Provide grant development support for MIHE faculty

- Provide support for MIHE internal library (lending to MIHE users, assisting with book donations, cataloguing new books) in collaboration with MIHE Library Coordinator.
