Grow your career as a successful Event Coordinator within ALG Vacations. In this role, you will responsible for working with internal and external contacts to plan and execute a wide range of event types attended by ALG Vacations team members, travel advisor distributors and industry suppliers.

You will ensure team members in attendance have the support they need and are fully prepared for the event, in alignment with leadership’s vision.

You will take ownership of all event project needs, prioritize work, and meet deadlines with little supervision. You will play a key role in the outcome of our events and overall attendee experience.

Events are a major contributor to the development and maintenance of relationships with our key travel advisors and supplier partners.

A successful Event Coordinator will :

  • Own and complete all assigned tasks from start to finish with little supervision post full training period
  • Learn and utilize Cvent Event Management Platform on a daily basis to build event sites, create and send event invitations, manage RSVPs, and run reports
  • Coordinate event logistics, including registration and attendee tracking, presentations, event materials support and pre / post-event evaluations
  • Coordinate and monitor event timelines and ensure deadlines are met
  • Track event finances including check requests, invoicing, and reporting and stay within established budget
  • Utilize Cvent budget tool to track monthly budget, forecasting and actual spend tracking by event for finance months end and report to Sr. Manager
  • Understand how venue contracting works
  • Negotiate and contract venues for all event logistics including room layouts, audio visual equipment, catering, signage, and décor
  • Work with all necessary departments both internally and externally to align all event execution needs
  • Execute all logistical aspects of the event, alignment with Marketing, Supplier Engagement, Team Member Travel and other internal ALGV departments
  • Finalize necessary materials / giveaways and request items using the established processes
  • Provide support of annual learning conference (Ascend), Industry Events, Fams, ALGV Elite Retreats, local market events / supplier and virtual event platforms for all registration logistics, air travel and transportation as needed
  • Understand the functionality of Microsoft Teams, SharePoint and Salesforce preferred
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards and all necessary event materials
  • Develop and maintain positive professional relationships with vendors, as well as internal and external clients through excellent written and verbal communications
  • Participate in monthly team meetings to propose new ideas to improve the event planning and implementation process
  • Understand our corporate methodology and integrate tools and concepts into daily work
  • Possess a high level of ownership, accountability, and initiative

A successful Event Coordinator will have :

Bachelor’s Degree (BA) from four-year college or university; or two or more years related experience and / or training;

or equivalent combination of education and experience.

  • Ability to manage and accomplish multiple projects independently in a fast-paced team environment with minimal supervision
  • Coordinate multiple projects and / or tasks with attention to detail and high level of accuracy
  • Ability to adapt to a busy and frequently changing environment.
  • Excellent communication skills, including writing, proof reading skills, and speaking
  • Exceptional interpersonal skills both in person and by phone, with high degree of professionalism
  • Strong organizational, follow-through and time management skills
  • Fantastic customer service skills and work ethic
  • Ability to quickly solve problems using creative solutions
  • High level of ownership, accountability, and initiative
  • Ability to travel (3 - 5 trips per year)
  • Previous event planning experience is a plus but not required.
