Can you speak Spanish fluently?  Are you seeking fully paid benefits; medical, dental, and optical insurance paid at 100%?  If so, please keep reading….   Our next Office Manager will be dynamo; someone who is fluent in both English and Spanish , who thrives in a fast-paced environment, and runs payroll within the first two days of each week while also handling several other high visibility projects.

The right person for this new role enjoys supporting their team by making sure folks are taken care of.

Your Spanish language skills will come in handy as you train new members, many of whom speak Spanish as their first language, how to use a time-keeping app on a company phone.

Once payroll is taken care of, you’ll spend the balance of your week helping to keep track of our fleet of vehicles and heavy equipment, obtaining permits, keeping our business licenses up to date, and reporting vehicle compliance to the state.

You are / You :

  • Great at payroll and enjoy the process / routine of running payroll cycles A natural leader with a successful history of overseeing direct reports who would speak highly of you as a mentor and manager  Have worked as an Office Manager or something similar and have served as the central point of contact or hub for several departments / teams Highly productive : w ork fast, enjoy keeping busy, and offer to help others if / when your own tasks are completed Fluent in both English and Spanish. (Yes, sadly, this is an absolute requirement of the position.) Make data entry changes quickly, troubleshoot timekeeping and payroll issues in a timely manner, and following up to let each employee know their issue has been resolved Are tech savvy and have a proven system for holding yourself and others accountable, preferably in the cloud using MS-Planner or another Kanban-style tool Are happy to provide phone support to team members needing assistance.  A patient trainer and can do so in both English and Spanish.
  • You may become the person who guides employees through the process of entering their time into an application on their phone A decent writer who can create clear and professional communications Comfortable maintaining confidentiality.

Someone with strong emotional intelligence (EQ), integrity, and clear personal boundaries Bonus points for :

  • Being familiar with the basics of HR and getting a new employees on-boarded including pre-employment checks (background, CA-DMV records, and sending folks to have a physical exam), and have dealt with a wide variety of H.R. issues in the past Coursework in accounting, finance, economics, or business Living near our headquarters in South Berkeley Excel skills such a VLOOKUPS, pivot tables, etc.  Having an Associate (AA, AS, or AAS) or Bachelor’s degree (BA, BS, BFA, or BBA) Having a current and clean CA driver’s license and a vehicle you bring to work daily so it may be used to run errands on rare occasions  WHY JOIN PROFESSIONAL TREE CARE?  Stability.

  • We like to hire folks who live within a brief commute distance of our office since there are no W.F.H. opportunities for this role ESSENTIAL FUNCTIONS Accurately process hourly payroll once per week and salaried payroll bi-monthly, including overtime, commissions, bonuses and all applicable taxes, 401(k) contributions, and health insurance premiums.
  • Create reports that outline deductions, overtime, tax liabilities, etc.
  • Train hourly field staff to use our new ADP payroll   application on smartphones Review payroll data accuracy and comply with local / state / Federal regulations ensuring all payroll tax filings are correctly submitted.
  • Obtain street closure permits for projects throughout California, and keep our business licenses up to date Develop and manage a comprehensive spreadsheet that tracks the status of our vehicles and heavy equipment.
  • Work alongside our Fleet Coordinator to ensure compliance with California state laws, including smog certifications and other regulatory requirements Serve as the go-to person for our sub-contracted cleaning team Other payroll, human resources, and general office management functions as you’re able Support our Client Services Manager by taking in-coming calls from time-to-time in her absence BASIC REQUIREMENTS of THIS POSITION Bi-lingual English / Spanish.

  • The role requires fluency in both English and Spanish.
  • Experience running payroll, ideally for 50+ people Physically able to walk up two flights of stairs multiple times throughout the day and to lift / move deliveries including heavy cases of copy paper.
  • Authorized to work in the U.S. without sponsorship COMPENSATION AND FURTHER DETAILS This position is paid $27.50 to $32.00 per hour based on skills, experience, and match to what the hiring manager is seeking Access to 401(k) on one’s first day of employment Company cell phone Benefits after 90 days of employment include :
