Senior Grant Accounting Clerk

Primary Purpose :

Perform bookkeeping duties as it relates to grants, financial reports and bank reconciliations.

Qualifications :

Education / Certification :

  • High school diploma or GED certificate
  • Associate degree preferred or at least one year of college credits

Special Knowledge / Skills :

  • Ability to type and keyboard by touch
  • Ability to communicate effectively (verbal and written) using proper English grammar
  • Ability to effectively utilize computers, operate calculators and other machines as required
  • Ability to work with numbers in an accurate and rapid manner
  • Ability to organize, prioritize and meet established deadlines
  • Ability to maintain accurate and auditable records
  • Demonstrated experience using Microsoft Excel, Word, PowerPoint, and other software programs

Experience :

Three years bookkeeping training and / or experience

Major Responsibilities and Duties :

  • Prepare the HCDE’s daily deposits.
  • Update and maintain current the grant portal.
  • Assist in the recording of accounts receivable transactions.
  • Assist in the collection of outstanding accounts receivables.
  • Assist the Chief Accounting Officer with daily tasks.
  • Assist in the year end audit including the preparation of lead schedules.
  • Assist in the preparation of the Popular Annual Financial Report (PAFR), Comprehensive Annual Financial Report (CAFR), Annual Financial Management Report (AFMR) and budget report.
  • Perform account analysis as needed.
  • Assist in the monthly School Finance Council meetings.
  • Prepare monthly bank reconciliations for multiple bank accounts including investment pool accounts, Public Facilities Corporation (PFC) accounts, campus accounts, and miscellaneous cash accounts.
  • Prepare monthly journal entries.
  • Be familiar with and assist with duties assigned to other Business Services personnel when necessary.
  • Maintain confidentiality of information.
  • Maintain physical files of Business Services documents and records related to grants and investments.
  • Provide excellent customer service to all users.
  • Perform other duties as assigned.
