We are seeking a detail-oriented and experienced individual to join our team as a Bookkeeper and Office Administrator.

Position Overview :

The Bookkeeper and Office Administrator will play a crucial role in ensuring the smooth operation of multiple business lines by coordinating accounts receivable, accounts payable, payroll, and other bookkeeping tasks.

Additionally, this role will involve handling some aspects of HR, including new employee onboarding and policy administration.

The ideal candidate will be proficient in bookkeeping principles and software, highly organized, and capable of balancing multiple responsibilities in a fast-paced environment.

The Bookkeeper and Office Administrator will work closely with our CFO and CEO to ensure the smooth operations of the finance and HR functions.

Key Responsibilities :

1. Accounts Receivable and Accounts Payable : Track invoicing, receipts, and collections processes, as well as manage vendor payments and reconciliations.

2. Payroll Administration : Process payroll accurately and on time, including employee hours, deductions, pto and tax withholdings.

3. Financial Recordkeeping : Maintain accurate and up-to-date financial records, including journal entries, bank reconciliations, and general ledger entries;

Support processes to integrate digital systems.

4. HR Support : Assist with new employee onboarding, including preparing paperwork, conducting orientations, and ensuring compliance with HR policies and procedures.

5. Expense Tracking : Reconcile company expenses, including credit card transactions and reimbursements.

6. Financial Reporting and Projects : Prepare regular financial reports to required agencies, assist with data integration and other financial projects as assigned by the CFO.

7. Office Administration : Perform general office administrative tasks, such as processing mail, ordering supplies, maintaining office equipment and other associated tasks.

8. Compliance and Regulations : Stay informed about relevant accounting regulations and ensure compliance with state and federal tax laws and reporting requirements.

Qualifications :

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • Minimum of 2-3 years of experience in bookkeeping, accounting, or office administration roles.
  • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (particularly Excel) and Google Suite;

Interest and comfort with technology, data and digital solutions.

  • Strong attention to detail and accuracy, with excellent organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of HR principles and practices, including familiarity with employee onboarding procedures, and enforcing HR policy is a plus.
  • Excellent communication skills, both written and verbal.
  • Flexible and adaptable, with the ability to work independently and as part of multiple teams.
  • Prior experience in the automotive or small business industry is desirable but not required.

This role is on-site in Seattle, but may allow some flexibility for occasional remote work.
