The Scheduling Specialist is responsible for maintaining Physicians, Residents, and Advanced Practice Physicians (APP) schedules to ensure the smooth operation of our clinics through preparation and maintenance of daily and monthly schedules.
Coordinates with clinical departments, Executive Leadership, and Kirk Kerkorian School of Medicine (KKSOM) on schedule modifications.
In addition, the Scheduling Specialist will schedule patient appointments, greets patients and visitors, answers and directs phone calls, checks patients in and out, verifies insurance eligibility and assists in general office duties.

MAJOR RESPONSIBILITIES
Create and update faculty, residents, Advanced Practice Providers (APPs) schedules for all clinical sites and departments.
Process and document Faculty PTO as needed ensuring proper approvals are obtained (ex. Department Chair sign off) and established guidelines are being followed.
- Update resident templates to reflect changes in the clinic schedule, and staff will be informed accordingly. Ensure proper approvals for all (APP) schedule templates are obtained by Executive Leadership prior to schedule changes being implemented.
- Coordinate meetings, patient appointments, consultations, follow-up visits, and activities efficiently to optimize physician / resident schedules.
- Collaborates with KKSOM and Resident Coordinators to coordinate residents rotations and activities.
- Ensures schedules are reflected in Epic. Reconcile new innovations & Epic. All schedules must include where practitioners are at during their working hours (meetings, surgery, call, didactics) all time must be accounted for in Epic accurately.
- Communicate any changes to the appropriate staff accordingly. Provide monthly pre-op clinic template to UNLV Health departments and notify the scheduled dates to promote accommodation for internal patients that need surgical clearance.
- Greets patients and other visitors, directing them appropriately (i.e., assisting them in signing in, completing registration forms, or to the appropriate individual).
Advises patients of any necessary standard instructions and instructs new patients of procedures. Records cancellations or no shows.
- Answers the telephone and forwards any calls to appropriate individuals.
- Ensure compliance with patient confidentiality and privacy regulations.
- Assist with other administrative tasks as needed to support the smooth functioning of all clinics.
- Functions effectively in a Matrix Management environment.
- Completes any duties and special assignments as requested.
EXPERIENCE, EDUCATION, AND CERTIFICATIONS
- Minimum of one (1) year of experience in patient / surgery scheduling required
- High School Diploma or GED equivalency required
KNOWLEDGE, SKILLS, AND ABILITIES QUALIFICATIONS
- Intermediate knowledge of Epic software or electronic health record (EHR)
- Intermediate knowledge of ICD-10, and CPT coding guidelines.
- Intermediate knowledge of medical terminology.
- Knowledge of Medicare guidelines.
- Demonstrated proficiency in Microsoft Office (Word, Outlook, and Excel)
- Excellent verbal and written communication skills
- Must be well organized and detail oriented
- Must be able to work independently with minimal supervision
- Must be able to multitask and prioritize work in a fast paced environment
- Must be able to maintain confidentiality
- Must be able to pay close attention to details
PHYSICAL REQUIREMENTS
- May include standing, sitting, and / or walking for extended periods
- May include performing repetitive tasks
- May include working on a special schedule (i.e. evenings and weekends)
- May include working with challenging patients and clients
- May include lifting up to 25 pounds
