Position Overview :
The Vice President of Operations will be a key leader at Secured Tech Solutions, responsible for overseeing operational activities and driving efficiencies across the organization.
This role demands a strategic thinker with experience in ERP systems (preferably NetSuite or another Oracle product), HubSpot, and inventory management.
The VP of Operations will focus on operational excellence, develop key performance indicators (KPIs), and lead initiatives aligned with the company’s objectives within the framework of the Traction (EOS) methodology.
Additionally, experience in manufacturing, reverse logistics, and e-commerce is highly desirable.
Key Responsibilities :
1. Strategic Leadership :
- Collaborate with the President and executive team to define and implement operational strategies aligned with the company’s mission and objectives.
- Develop and execute operational plans that drive efficiency and scalability across all business units.
2. Operational Management :
- Oversee daily operations, ensuring adherence to company policies and procedures while fostering a culture of operational excellence and continuous improvement.
- Analyze operational performance metrics and implement corrective actions to meet organizational goals.
3. Process Improvement and Development :
- Identify areas for process improvement across departments, leading initiatives to streamline workflows, enhance productivity, and ensure proper documentation.
- Implement best practices in operations management, leveraging technology and data analytics to drive decision-making.
4. Inventory Management :
- Oversee inventory management processes to ensure optimal stock levels, efficient order fulfillment, and minimal waste.
- Implement inventory control systems and strategies that enhance efficiency and accuracy.
5. KPI Development :
- Develop, track, and report on key performance indicators (KPIs) that measure operational performance and drive accountability.
- Use data-driven insights to inform strategic decisions and operational improvements.
6. Labor and Hiring Needs :
- Use operational metrics, historical data, and sales forecasting to predict labor and hiring needs.
- Collaborate with HR to proactively hire to meet staffing needs and ensure organizational effectiveness.
7. Facilities Management :
- Manage facilities at both locations, ensuring they are maintained and meet the operational needs of the company.
- Coordinate with vendors and service providers to ensure the upkeep and functionality of facilities.
8. Reporting :
- Create and generate weekly and monthly reports to ensure organizational goals and team members are in alignment.
- Analyze these reports to identify trends, areas for improvement, and ensure accountability across teams.
9. Team Development :
- Build, mentor, and lead a high-performing operations team, providing coaching and support for professional growth and development.
- Foster a collaborative environment that encourages innovation, accountability, and teamwork.
10. Cross-Departmental Collaboration :
- Collaborate closely with the sales team to ensure alignment on operational initiatives and deliver exemplary customer service to both the sales team and K-12 school customers.
- Support the implementation of new product lines and operational processes in collaboration with other departments.
11. Customer Experience :
- Ensure that operations deliver exceptional customer service, addressing issues and feedback promptly to enhance customer satisfaction.
- Analyze customer feedback and operational data to identify opportunities for service improvement.
12. Compliance and Risk Management :
- Ensure compliance with industry regulations, safety standards, and best practices in operations management.
- Identify potential risks and develop mitigation strategies to protect company assets and maintain operational integrity.
13. Deadline Management :
- Exhibit a strong need / desire to hit and exceed hard deadlines while holding team members accountable to the same mentality.
- Foster a culture of accountability where meeting deadlines is prioritized and celebrated.
14. Cultural Development :

Qualifications :
- Bachelor’s degree in Business Administration, Operations Management, or a related field; MBA preferred.
- 10+ years of experience in operations management, with a proven track record of leadership in a fast-paced environment.
- Strong knowledge of ERP systems, specifically NetSuite or other Oracle products, and HubSpot.
- Experience in inventory management, process improvement, personal development, documentation, and facilities management.
- Excellent communication skills, with the ability to convey information clearly and effectively across all levels of the organization.
- Experience in manufacturing, reverse logistics, and e-commerce.
- Excellent analytical, problem-solving, and decision-making skills.
- Demonstrated ability to lead and motivate teams, with a focus on employee engagement and development.
- Proficient in using data analysis tools to inform decision-making.

- Valid driver’s license with a good driving record and ability to commute to both locations.
