Gift Processing and Data Manager

Our client, Southwestern Medical Foundation, a leading foundation, is seeking an energetic and proactive Gift Processing and Data Manager.

The Gift Processing and Data Manager is primarily responsible for overseeing gift processing and the Foundation's constituent database.

This position requires meticulous attention to detail, strong organizational skills, working cross-departmentally, and proficiency in database management.

Duties and Responsibilities :

To perform this job successfully, an individual must be able to satisfactorily perform each of the essential duties and responsibilities listed below.

The duties and responsibilities include the following, though other duties may be assigned.

With a high level of detail, be responsible for the daily recording and processing of contributions and ensuring all gifts are promptly and accurately entered, receipted, and acknowledged.

Maintain donor and fund files, including gift and grant records, both electronically and archived paper copies.

  • Manage the Foundation's constituent database by creating, implementing, and monitoring compliance with database protocols and performing ongoing data and process audits to ensure data integrity is maintained.
  • Oversee the functionality and integration of gift processing systems.
  • Stay up to date with the functionality of the donor database and serve as a resource to train and provide support to the team.
  • Propose and implement enhancements to data management procedures to increase efficiency and accuracy.
  • Produce custom lists for highly segmented appeals and mailings.
  • Generate reports on gift processing metrics, trends, and outcomes.
  • Analyze data to identify areas for improvement and strategic decision-making.
  • Serve as a liaison to the Finance and Accounting team and assist with related financial reconciliations and reporting of donor gift records and grant distributions.
  • Perform appropriate due diligence and research to ensure regulatory compliance that grants are made in accordance with donor gift intent and that sufficient funds exist to support the grant distribution.

  • Strong aptitude for project management.
  • Demonstrated ability to handle sensitive and confidential material in a responsible and respectable manner.
  • Absolute attention to detail, especially when managing multiple projects at any one time.
  • Proven technical aptitude.
  • Proven critical thinking and problem-solving skills.
  • Proven ability to work both independently and as a strong team contributor.
  • Keen sense of organization and prioritization in order to consistently meet deadlines.

  • Must deliver strong initiative, anticipation and innovative thinking.

Education / Experience

  • Bachelor's degree preferred.
  • One to three years of gift processing and database management experience (Raiser's Edge / Affinaquest / Salesforce preferred).
