Riot Hospitality Group is currently looking for our next great Executive Assistant & Office Manager to join our team!
We're searching for a candidate who can :
- Provide administrative support to executive management, including scheduling meetings, managing calendars, and coordinating travel arrangements to ensure efficient use of executive’s time.
- Act as a liaison between the Chief Operating Officer and internal / external stakeholders.
- Handle incoming and outgoing communications, draft emails, and prepare reports or presentations as needed.
- Organize and coordinate meetings, including preparing agendas, taking notes, and following up on action items to ensure that meetings are productive and efficient.
- Assist in managing special projects or initiatives on behalf of the Chief Operating Officer, coordinating tasks, tracking progress, and ensuring deadlines are met.
- Maintain confidential information with utmost discretion; ensure files and documents are organized and easily accessible when needed.
- Oversee the smooth functioning of the corporate office, ensuring it is well-maintained and organized.
- Develop and implement efficient office policies and procedures to enhance productivity.
- Manage office supplies, equipment, and facilities, coordinating and / or performing maintenance, cleaning, and repairs as necessary.
- Manage office-related expenses to ensure adherence to financial guidelines.
- Submit invoices and receipts for payment and reimbursement.
- Receive and sort incoming mail and deliveries; manage outgoing mail.
- Collaborate with HR in recruitment processes, onboarding, and offboarding activities.
- Ensure compliance with health and safety regulations, taking appropriate measures to maintain a safe work environment.
- Assist with planning and organizing corporate events, meetings, and conferences, including arranging logistics, catering, and necessary equipment for successful execution.
- Other duties as assigned.
Requirements
- Proven experience as an executive assistant and / or office manager (or similar administrative role); experience in hospitality is a plus!
- Strong organizational and time management skills with the ability to prioritize tasks.
- Excellent communication and interpersonal abilities.
- Strong proficiency in Microsoft Office and Google Suite (Word, Excel, PowerPoint, Gmail, Google Drive).
- Discretion and trustworthiness to handle confidential information.
- Excellent attention to detail.
