As the Office Manager at HighByte, you will be responsible for all day-to-day bookkeeping duties. Your responsibilities will include managing accounts receivable and payable, reviewing and approving expense reports, reconciling cash and credit card accounts, and closing books.
You will also be responsible for managing and maintaining accurate records in QuickBooks Online. You will coordinate with vendors and agencies as needed to ensure timely and accurate filing of Sales and State taxes.
Your role will also include managing the company’s office facilities in Portland, Maine. You will play a key role in planning and executing company onsite events that welcome our employees from across the United States.
This is a rewarding role for a professional with bookkeeping, project management, and facilities management experience.
Essential Functions
- Manage accounts payable and receivable, ensuring payments are made and received in a timely manner.
- Manage day-to-day accounting activities and the Chart of Accounts, coordinating with the company’s accounting agency of record as necessary.
- Review and approve expense reports in Brex and audit recurring charges and spend insights.
- Manage integration between Brex and QuickBooks Online.
- Close books and reconcile cash and credit card accounts monthly.
- Request, manage, and audit vendor tax information.
- Manage the physical office space in Portland, Maine by working with third-party vendors responsible for parking, utilities, maintenance, and lease compliance.
- Monitor, order, and restock office supplies as needed.
- Manage inbound and outbound mail and shipping.
- Lead planning and execution of in-person company-hosted events for employees, customers, and partners in Portland, Maine.
- Provide ad hoc project management support to Leadership, People Operations, Marketing, and Sales as needed.

Qualifications
- Bachelor’s degree or equivalent foreign degree in finance, accounting, or related field
- 3+ years of professional experience in accounting or bookkeeping in the United States or overseas
- Ability to work in the Portland, Maine office (hybrid work environment)
