Job Details : Purpose
Purpose
This is a full-time position to serve as a key team member in the Ambulatory Surgery Center at UT Health Austin.The Surgical Unit Coordinator is responsible for providing high-level administrative and logistical support, assisting day-to-day operations of the ASC business office and clinical team, and execution of activities to support operational and clinical functions.
Responsibilities
Assists various different surgical departments with medical records management. Protects the privacy and security of medical records to ensure confidentiality.
Transfers medical health record information to ensure charts are completed and audits for encounter closures.
Processes timely requests by preparing, scanning, and indexing protected patient health information in the electronic medical record system.
Assists with the release of patient records by scanning and exporting documents to external providers as needed. Also works closely with the Health Information Management (HIM) team for patient access to documents.
Maintains and organizes monthly charts to ensure they are readily accessible for future reference.
Skillfully triages phone calls by directing them to the appropriate department or guiding to the correct contacts.
Contributes to the implementation of strategic initiatives and projects within the ASC by building and managing necessary resources.
Handles additional administrative and clerical tasks to support both medical care and operational functions.
Performs other related duties as assigned.
Required Qualifications
High school graduation or GED and three (3) years of relevant experience. Professional verbal and written communication. Ability to anticipate needs and follow through with internal and external customers.
Exceptional customer services skills, awareness and phone etiquette. Knowledge of basic medical terminology and HIPAA compliance.
Basic knowledge of MS Suite (Word, Excel) and use of a computer, printer and fax machine. Ability to maintain and respect the confidential nature of medical information.
Ability to use experience and judgment to plan and accomplish goals. Ability to read and interpret documents such as charts, safety rules, operating and maintenance instructions, and procedure manuals.
Ability to function in a fast-paced environment and maintain flexibility according to the needs of the Center.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Bilingual in English and Spanish. Experience with Smartsheet, Electronic Health Records systems, Electronic Medical Records systems, Mediscribes and other management tools.
Experience in health information management and / or medical records. Experience in an academic or healthcare setting. Knowledge of operating a multi-phone system or electronic telephone software system.
Salary Range
$40,000+ depending on qualifications
Working Conditions
Work hours are variable based on patient care needs but are generally Monday-Friday
Ability to sit and stand for prolong periods of time, some bending, stooping and stretching
Ability to perform overhead and low reaching activities
Requires hand-eye coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and occasional use of other office equipment
Physical strength for equipment needs; may require frequent lifting / moving up to 50 pounds and occasional lifting / moving in excess of 50 pounds
Exposure to noisy equipment and environment
Subject to varying and unpredictable situations, high stress / pressure, handles emergency or crisis situations, regular interaction with emotional patients and / or family members
