Purpose
Reporting to the Executive Director for Development, the Development Specialist will provide support to the School of Architecture Dean, Executive Director, and Associate Director for fundraising, stewardship, alumni affairs, and gift / endowment compliance efforts.
Oversee gift processing / acknowledgment and donor and gift records in compliance with UT policies and protocols.
Responsibilities
Donor relations and gift stewardship, including : Draft and prepare correspondence on behalf of the Dean and Executive Director.
Manage the endowment compliance annual letters project, requesting and gathering letters from faculty members and other endowment holders / beneficiaries.
With assistance from the scholarship / awards coordinator, coordinate reporting on student scholarship recipients to endowment principals and other donors.
- Working with the Executive Director and Associate Director, coordinate arrangements for development events and advisory council activities, including the generation of invitation lists, contract negotiations, paying vendors from appropriate accounts, preparing university work orders, and other duties.
- Manage the processing of gifts and pledges to the School of Architecture, tracking gifts to ensure they are deposited into correct accounts and issuing proper receipts and acknowledgments in a timely manner.
- Maintain alumni records in the central CRM and endowment and donor files at the School of Architecture. Assist the Executive Director and Associate Director in prospect identification through report writing in the central database.
Oversee special projects related to data conversion from VIP to a new CRM system.
- Assist with scheduling meetings, engagements, and events and managing the Executive Director’s calendar. Provide administrative, travel, and event support for development and constituent relations activities.
- Provide administrative support and back-up at the front desk in the dean’s suite as needed.
Required Qualifications
- Bachelor’s Degree in relevant field.
- One year of professional experience in development or related fields.
- Two years of experience working in administrative support.
- Experience assisting with fundraising programs
- Demonstrated strong organizational and time management skills
- Excellent attention to detail and commitment to quality control
- Highly effective communication skills (written, verbal, interpersonal). Demonstrated experience composing correspondence and coordinating mass mailings, compiling lists, and executing mail merges.
- Strong analytical skills and systems thinking; understanding of databases and / or experience using a CRM. Experience working with VIP, Raiser’s Edge or other similar CRM.
- Capable of working independently, while also engaging in collaboration between teams.
- Ability to use discretion and maintain integrity and professionalism.
Preferred Qualifications
- More than the required amounts of education and experience.
- Experience in a university environment or development office setting.
- Experience in hospitality or events planning.
- Experience working in a large-scale complex academic research university.
- Knowledge of UT Austin policies and procedures. Proficiency with UT database systems : DEFINE, Cognos, and VIP.
- Demonstrated ability to work under stress, independently, and without day-to-day supervision.
- Demonstrated interest in the arts, architecture, or design.
Salary Range
$55,000 + depending on qualifications
Working Conditions
- Onsite work on the UT campus.
- Typical office environment
- Additional hours and / or weekend work will be required during peak periods.
- Travel within the state of Texas may be required.
- Continuous standing and walking during events.
- Ability to lift / carry and push / pull up to 25 lbs.

Flexible from 7 : 30AM to 6 : 00PM
