POSITION SUMMARY :

The Medical Office Specialist (MOS) is a multi-functional position and is a key member of the health team. This position is responsible for center operational activities, such as registration, medical records management, billing, maintaining appointment schedules and verifying insurance and data collection.

Major scope of responsibilities will depend on needs of health center.

DUTIES AND RESPONSIBILITES :

Essential Functions :

  • Greet patients and provide basic orientation to the center and all available services.
  • Check-in and screen all patients to determine their insurance.
  • Obtain accurate and complete personal information from the patient as required for registration and enters into the Practice Management System (PMS).
  • Monitors the ECW office visits screen to assure patients are processed and checked out timely.
  • Verify patients’ insurance. Performs a financial assessment of all new patients and reassessment of established patients on a six-month basis, as needed.

Assists in the preparation of applications for public entitlements and facilitates the approval process. Assists with re-certification, as needed.

  • If patient has Medicaid Managed Care insurance, the MOS verifies the primary care physician, determines eligibility, and if necessary calls the insurance company to obtain approval for treatment and authorization.
  • If patient has Medicaid, the MOS ensures that the Medicaid Insurance is valid.
  • Keeps track of appointment schedules, makes and confirms patient appointments.
  • Follow-up on missed appointments and documents in the PMS system.
  • Collects co-payment fees, tracks payments and open balances.
  • Responds to written and telephone inquiries regarding billing information, researches accounts for incorrect charges, missing cash payments, corrects financial levels and adjusts accounts to reflect changes.
  • Answer multiple telephone calls appropriately and follows up on return calls.
  • Assists with data collection and report preparation.
  • Involvement in Performance Improvement activities.
  • Maintains inventory of the equipment stock and supplies.
  • Scanning of medical records documentation / reports.
  • Respect for the rights of individuals to make their own decisions about family planning, etc.
  • Compliance with Employee Health Services.
  • Facilitates related services for health center patients as appropriate with respect to their confidentiality and privacy.
  • Translation, if required.
  • Performs other related duties, as assigned.

Certificate / License required :

  • High School diploma or equivalent
  • Minimum two (2) year related experience

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED :

  • Knowledge of basic office equipment including, copier and fax
  • Computer and organizational skills.
  • Ability to communicate easily and display a cordial manner towards individuals from different socio-economic, cultural and religious backgrounds.
  • Ability to multi-task under pressure.
  • Excellent Customer Service skills.

PHYSICAL DEMANDS / WORKING CONDITIONS :

  • Ability to stand, walk or sit for an extended period of time.
  • Reaching by extending hand(s) or arm(s) in any direction.
  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard
  • Ability to see within normal parameters
  • Ability to hear within normal range
  • Extended periods of time at a computer
  • Noise level is moderate
  • Use of public transportation to travel to and from sites between four boroughs
  • Possible exposure to inclement weather when traveling to and from sites
  • Possible exposure to virus, disease, and infection from patients and specimens
