Job Description Summary

We are looking for a proactive, savvy and experienced individual needed to support an executive team in a fast-paced, mission driven environment.

This role ensures efficient operations and delivery of quality, high-touch services while exhibiting superlative administrative and organizational strengths.

The ideal candidate will have a willingness to learn, excellent ability to manage time and prioritize tasks, and ability to take direction from a variety of senior staff with a variety of different roles throughout the organization.

The position will support the two Senior Vice Presidents of Programs, both of whom sit in Enterprise's Solutions Division.

Job Description

Responsibilities :

  • Proactively provides programmatic and administrative support for the needs of the senior staff.
  • Manage and maintain the senior staff's complex calendars and daily schedules, including but not limited to tracking on follow-up relevant to major priorities, meetings, and email;

drafting communication and other materials; calendar management, expense reporting, scheduling, and travel logistics.

  • Serve as liaison with support departments and as a central point of contact for geographically dispersed staff.
  • Support meeting coordination including agenda communication and follow up for critical convenings and staff meetings, as directed by SVPs.
  • Support the Program SVPs with related communication administrative tasks for newsletters, press releases, print articles and social media.
  • Provide administrative support of materials, presentations, and briefings for meetings with key internal and external stakeholders.
  • Manage logistics and arrangements for meetings and special events, including in person meetings, zoom calls and webinars.
  • Process expense reports including collection of receipts.
  • Maintain electronic files including consultant databases, correspondence, work plans, TA deliverables and related programmatic materials.
  • Maintain / order necessary supply of office products and materials.
  • Management of third-party vendor relationships; process invoices for manager approval.
  • Track consultant invoices, progress reports and deliverables.
  • Distribute mail, print and copy documents.
  • Complete other tasks as requested; tasks may be complex and require anticipation of needs or circumstances. Tasks may also include programmatic support.

Qualifications :

Minimum of (3) years or related experience : minimum of two (2) years of experience assisting senior executives or board members preferred.

Significant experience may offset degree requirement.

  • Bachelor's degree required.
  • Superior grammar, editing and proofreading skills.
  • Expert MS Office and Outlook skills.
  • Experience scheduling and managing online and in-person meetings
  • Demonstrated ability to work with minimum supervision, using good judgement in a fast-paced environment with stringent deadlines and strict confidentiality requirements
  • Demonstrated telephone and interpersonal skills to represent company to all parties
  • Demonstrates professionalism, diplomacy and composure and is flexible and able to adapt to a variety of situations.
  • History of building strong internal and external working relationships; evidence of tact and integrity in dealing with others
  • Demonstrated ability to anticipate needs, seek out relevant information and provide appropriate and timely response
  • Ability to perform multiple tasks for multiple staff

The hourly rate for this role is $43.50 to $50.00 per hour, depending on level of skills and experience.

The salary range for this position is represented by the low and high end of the range for the amount to be paid for the position.

Salaries paid at Enterprise will vary based on factors that may include skills, education, location, experience, and performance.
