Gallagher Bassett, a division of Gallagher Insurance, is looking for an Executive Assistant to support the CIO and their leadership team.
This position will coordinate and manage executive scheduling, arrange domestic and international travel, submit / complete expense reports, schedule on-site and off-site meetings, prepare and organize important presentation materials, produce and edit spreadsheets, provide support with workforce tracking, and other business related requests and assignments.
Also assist with new hire onboarding tasks, vendor management, team equipment, invoice coding / submission / follow-up. This position requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the executive’s needs.
This role must interact seamlessly and with a professional demeanor across a broad range of individuals including leaders that report to the executive.
To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
This position will be located in Rolling Meadows, Illinois and will be hybrid with the expectation of spending at least 3 days per week on-site.
How you'll make an impact Assist executive in the coordination of organizational administration activities including, but not limited to, scheduling and coordinating meetings, travel arrangements and maintaining executive’s and team leads’ business calendars.
Draft, prepare, and distribute executive correspondence, memos, reports, and any additional directed items. Collaborate with all levels of internal management and staff, as well as, outside clients and vendors.
Act with a sense of urgency to prepare, process, and submit reports, which may include expense reporting and other business related reporting.
Back-up other executive assistants and provide assistance for the direct team members of the executive. Attend meetings and record notes or provide information as needed.
Assist executive and their direct reports with various initiatives and / or projects under tight deadlines. Maintain and protect highly confidential company information and work independently with minimal supervision or direction.

Self-starter who can anticipate needs and demonstrate exceptional judgement to effectively and efficiently complete tasks and solve problems.
Excellent interpersonal skills with the ability to effectively interact with internal and external stakeholders at all levels.
Exceptional organizational and time management skills, with the ability to prioritize and manage multiple projects simultaneously.
The capability to respond to changing situations and reprioritize work as necessary. Ability to exercise discretion and confidentiality when handling sensitive information and executive communications.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications (Concur, Egencia, Circulus, Visio, ICIMs?
Occasional after-hours work may be required / Willingness to work outside of normal business hours, and as unique projects / needs arise / Flexibility to work overtime as needed.
Ability to lift a minimum of 15 pounds. Education And Experience : High school diploma; college courses or bachelor’s degree preferred.
