As an Executive Administrative Assistant, you will provide high-level administrative support to our C-Level Executives within a fast-paced, dynamic environment.

This person will be responsible for supporting with calendaring, travel arrangements, special projects, and research. Must be well organized, detail oriented, flexible, and enjoy the administrative challenges of supporting business leaders with operations around the world.

This position will be based in Mokena, IL.

What You’ll Do :

  • Provide executive level administrative support for President, CHRO, and CFO.
  • Proactively manage an extremely active calendar of appointments.
  • Plan, coordinate and maintain the executive schedule.
  • Complete expense reports.
  • Composing and preparing correspondence that is sometimes confidential.
  • Work with travel to arrange complex and detailed travel plans, itineraries, and agendas.
  • Prepare a wide variety of correspondence, reports and presentation materials using word processing, spreadsheet and presentation software applications for executive team and projects within their respective areas of responsibilities.
  • Conduct research as needed. Develop appropriate methods for handling information, organize and maintain records and files (physical and electronic), and coordinate legal document signage and submission.

Facilitate calls and video conferences.

  • Ensure follow-up on ongoing initiatives. Serve as a resource for the organization as needed.
  • Assist Travel Supervisor with meeting planning of offsite conferences.
  • Attend and support meetings and conferences as needed .

What You’ll Need :

Associates degree or three-five years of administrative assistant experience, which includes experience in providing high-level administrative support and support for special projects and confidential work is required.

Bachelor's Degree preferred.

  • Proficiency using Microsoft Office programs including Word, Excel, PowerPoint, and Outlook
  • Poised, articulate, and consistently project a positive, professional image in all dealings and interactions with internal and external customers
  • Ability to use good judgment and discretion daily as well as when presented with confidential information.
  • Excellent organizational, time management, oral and written communication skills
  • International experience and global understanding
  • Bilingual language skills (French, German or Spanish in particular) are a plus
  • A desire to learn new things, and be a strategic thinker and resourceful problem solver
