Position Summary / Purpose
Your main purpose is to make certain that customers are happy and satisfied with the job performed by our team at Dreyer's DKI, and to support the administrative functions in the office.
This position is in charge of communicating with insurance companies when needed, sending damage reports, communicating and coordinating with our production team, answering all calls that come in for Dreyer’s DKI and Dreyer’s Carpet Care, setting up all jobs for Dreyer’s DKI and Dreyer’s Carpet Care, ensuring all information is up to date on all jobs, and more.
You will work closely with customers and all members of the team to support policies and job functions that reinforce the core values and culture of the organization.
Principle Duties and Responsibilities
- Assist with invoices from customer payments via our Proven Jobs system and Quickbooks.
- Work in HouseCall Pro Software to set up jobs and collect customer payments / Send out invoices for the Carpet Division
- Schedule and Coordinate jobs for the carpet department and technicians.
- Assist our Production Manager for Billing and Dispatch and our Claims Advocate with all jobs.
- Set up Proven Jobs on all (PSA) jobs and create accurate notes on all jobs as needed.
- Coordinate with other departments and office staff to complete projects, paperwork, and keep the processes timely for each project.
- Process initial project information relating to certified payroll, billings and other pertinent project information.
- Answer incoming phone calls for the production department, Carpet Division and assist clients with questions.
- Demonstrate a positive image of the Company to clients.
- Fantastic Customer Service with Empathy is a necessity.
- Other duties assigned by your Manager.

Being familiar with and utilizing Proven Jobs Software (PSA), Housecall Pro Software, QuickBooks, Google workspace platforms, Microsoft Office and BambooHR
Your Qualifications

- Must be able to pass a background check
- At least 1 year of admin and customer service experience
- 1 - 3 years of industry experience highly preferred but not necessary depending on skills
- Excellent customer service and empathy skills
- Generate information within a reasonable time frame with accuracy and efficiency
- Establish and maintain cooperative working relationships with those contacted through the course of work; gain cooperation through discussion and persuasion
- Communicate clearly and concisely, both orally and in writing; must be proficient in reading and writing the English language
- Apply general mathematical and data entry skills, including the use of a mobile smartphone device
- Apply established Company policies and procedures
- Work under pressure and coordinate numerous activities and groups of people who need to cooperate to achieve maximum efficiency
